POSITION SUMMARY

Under the overall direction of the Director, Institute for Population Health (IPH), this position will report to the Administration Manager, IPH. The Administrative Assistant will provide administrative support to all functions of IPH and Mamtani Lab.

POSITION ACTIVITIES

• Maintains the electronic calendar for the Senior Associate Dean for Population Health, Capacity Building and Student Affairs, Director, IPH and the IPH Out of Office calendar. Schedules appointment, meetings and conference calls. Compiles and distributes agendas and materials for meetings, and as required, records and transcribes minutes of meetings.
• Provides word-processing, spreadsheet and presentation software services, including drafting routine correspondence, prepares documents, types and formats reports and other publications. Collates information and prepares reports for ad hoc projects as required. Sets up and maintains electronic and paper filing for IPH as required.
• Provides support for business and education leave travel arrangements for IPH faculty and staff and for IPH programmatic activities as required
• Supports the planning and organization of all IPH activities as directed. Responds promptly to internal and external enquiries related to activities via email or phone calls.
• Contributes to the development and maintenance of IPH’s Standard Operating Procedures (SOP’s) and checklists ensuring compliance and consistency
• Under guidance will update various operational reports and the IPH giveaways log as required
• Initiates shopping carts and follows through ensuring compliance with WCM-Q financial policies and procedures.
• Liaises with staff and faculty at WCM-Q, WCM-NY, HMC, SIDRA, Ministry of Public Health, Qatar Foundation and others to support IPH activities as directed.
• Supports IPH website updates as directed. Performs other duties as assigned or required.

Requirements

• The incumbent should have excellent organizational, writing and communication skills in order to efficiently support all IPH activities
• BA/BS or equivalent combination of education and experience.
• Three or more years’ previous work related experience
• Previously demonstrated proficiency in planning, problem solving and analytical skills.
• Must be attentive to detail with a high degree of accuracy.
• Previously demonstrated advanced written and oral English communication, and presentation skills.
• Previously demonstrated advanced organization, and interpersonal skills.
• Advanced level proficiency in MS Suite of products including Word, Excel and Power-point.
• Previously demonstrated experience of database software use and management.
• Must be able to work independently and use sound judgment to execute assignments.
• Previously demonstrated advanced level multi-tasking ability in a results oriented environment.
• Must be able to demonstrate assertiveness, and the ability to be proactive.
• Flexibility in working hours as required.

HIGHLY DESIRABLE REQUIREMENTS
• Previous work experience in a higher education environment.
• Previously demonstrated ability to work effectively with diverse populations and cultures.

Work typically takes place in a normal office environment and requires:
