Job description / Role

Employment: Full Time

Primary Purpose of the Job:
• Provides Technical Document Control services for assigned projects
• Responsible for receiving project documents, recording, distribution, monitoring, delay status reporting, and return to Consultant / Contractor of all relevant project documents.
• Responsible for the collation and review of all Project close-out documentation.
• Responsible for the accurate logging of all Project Documentation status into the electronic Document Control Database.

Principal Accountabilities:
• Responsible for accurate implementation of transmittal system to record and issue
• Project Documents through the relevant review cycles to primary and secondary distribution reviewers.
• Maintain, update and issue status reports for all project documents, highlighting required due dates, days overdue and status on potential delays and to ensure the contractual review periods are met.
• Retrieve and issue archived documents if requested.
• Prepare all relevant project documents for Central Archiving ensuring the correct retention period is identified.
• Organize and maintain Project Documentation files in standard methodology to ensure ease of location and recovery.
• Retrieve and issue archived documents if requested.
• Generate, maintain and update Project registers and files for the Project Documents.
• Perform other related duties and assignments as directed.

Requirements

Qualifications and Experience:

Qualifications:
• HNC or equivalent level qualification with extensive experience gained within the Construction Industry.
• Must be fully computer literate with extensive knowledge of electronic Document Control systems and associated software.
• Good written and spoken English is essential.

Experience:
• Minimum 10 years working experience in Document Control functions and systems used in the implementation of Design and Construction and Engineering, Procurement, Construction (EPIC) projects in the Construction Industry.

Skills:
• Should be able to work with the minimum of guidance.
• Should demonstrate a high degree of drive and initiative.
• Communication skills as well as an ability to work in a multicultural team environment must be well developed and proven.

Independence:
• Works within the framework of approved corporate policies, procedures and standards, while exercising a high degree of independence in selecting methodologies to perform tasks related to performance of Document Controller's roles and responsibilities.
