Executive Secretary / Administrative Assistant to the Managing Director

Rixos Doha Qetaifan

Opening mid 2022, Rixos Doha Qetaifan will comprise a 345-key hotel, along with a souq encompassing 11,000sq m of leasing space, a beach club, a theme park and a waterpark. The resort will boast panoramic views of the Arabian Gulf. Slated to make its debut right before the World Cup, Rixos plans to provide a platform for showcasing Qatar as a tourism destination. One of the country's biggest draws will be Qetaifan Island North's waterpark attraction The Icon Tower, the world's highest tower of its kind, reaching 82 metres in height.

What you will be doing:

This position is responsible for providing high-level secretarial and administrative support to the Managing Director, and carry out tasks and requests as instructed.

- The Executive Secretary works with minimum supervision and handles confidential matters professionally.
- Manage the Managing Directors diary to co-ordinate meetings/appointments, and to ensure smooth running of such meetings
- Screen/handle telephone calls, appointments, mails and emails and take action accordingly
- Take minutes at the Executive Committee Meeting
- Coordinate and communicate with various departments and all levels of staff on matters directed by the Managing Director
- Prepare and manage correspondences with internal and external parties for Managing Director's signature
- Attend to requests from divisional, corporate or owners offices and facilitate it accordingly
- Attend to residents/patrons' special requests or complaints that are directed to the Managing Director
- Coordinate travel arrangements in a highly efficient manner and prepare detailed travel file accordingly
- Ensure approval forms are prepared for the Managing Director for signature and approval of the Vice President, Operations, e.g. leave application forms, travel approval forms, expense claims reports, etc.
- Maintain systematic up-to-date filing and tracing systems
- Maintain and update Executive Committee and Department Heads' personal files kept in the General Manager's office
- Maintain and update Executive Committee and Department Heads' leave record
- Maintain and update 'Manager-On-Duty' schedule


Your experience and skills include:

- Experience in Qatar and experience in hospitality is a plus
- Fluent in English (spoken and written), any additional language is a plus
- At least 5 years of experience in a similar position
- At least 2 years of experience in a large scale property
- Strong interpersonal, communication and problem solving abilities
- Highly responsible & reliable
- Excellent reading, writing and oral proficiency in English language
- Good working knowledge of MS Excel, Word, & PowerPoint
- Proven ability to build and maintain good relationships with all stakeholders
