Job description / Role

Employment: Full Time

• Scheduling appointments,
• Manage and maintain executive schedules of VC including scheduling travel and conferences, making and planning appointments, and making changes to appointments.
• Typing documents for VC and filing them, ensuring they remain secure and confidential and ensuring information is organized and easily accessible
• Prepare executive responses to routine memos, letters, or correspondence.
• Develop and utilize historical information; provide retrieval of information.
• Attending meetings and keep minutes, compile, transcribe, and distribute the minutes of meetings and might following in results of meetings and action plans.
• Receiving, screening and directing phone calls from callers and either assist callers with their questions and redirecting them when appropriate and taking messages and proper actions.
• Conducting research and prepare presentations and reports, collect and analyse information as assigned by VC.
• Handling and prioritize VC’ outgoing or incoming correspondence by opening, sorting, and distributing correspondence, including (e-mails, faxes, letters, packages etc.) and routing VC mails.
• Dealing with agencies and make travel arrangements for VC.
• Maintain inventory and monitoring office supplies and anticipate to complete the shortage of office needs.
• Evaluate new office products; place and often expedite orders when necessary.
• Greeting visitors and determining access to appropriate parties.
• Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
• Prepare and develop a records management system; maintain and recommend changes to records system when appropriate.
• Interact with customers when appropriate and problem solve.
• Report problems to executives when they cannot be resolved for attention.
• Translating in “bilingual” correspondence if needed.
• Arranging internal and external correspondence that need VC signature.

Requirements

Education:
• Should hold a BA degree in Management or any other related field from an accredited institution.
• Hold a secretary certificates or attended courses
• Attended computer courses

Experiences and Preferred Qualifications:
• 5+ years administrative support or executive assistance Supervisory experience
• Document control administration

Interpersonal Skills:
• Should have a strong sense of responsibility and might need to put in extra hours, depending on job demand
• Should have time management skills
• Should be able to work in super multitasking way and meet deadlines
• Should be able to work with minimal supervision and direction
• High communication skills with a pleasant and friendly personality
• Should be a person who pay attention to the details
• Able to handle the duties and responsibilities under less or without supervision
• Have very good analytical skills
• High reporting professional skills
• Perfect in English & Arabic language (reading, writing, conversation, translation, spelling & grammar)
• Perfect in windows and MS office applications
• Personal information:
• Decent & realized positive personal attitude
• Qatari ID & driving license (is an advantage)
• NOC availability
• The ability to join max. in 15-3-2019
• Gulf or Qatar work experience (is an advantage)
