Job description / Role

Employment: Full Time

• Manage administrative function of the office, maintain a safe and secure work environment,
• Coordinate with HR/Camp & Logistics Coordinator regarding ACCIONA employees Qatar Residence ID & Health cards renewals.
• Coordinate between departments and operating units within the facilities site office to resolve day-to-day administrative and operational problems
• Schedule and coordinate events and meetings; prepare, distribute meeting minutes, meeting notes and internal support materials.
• Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
• Coordinate and maintain records for daily employee attendance, monthly schedules, office space, amenities and office keys.
• Provide office orientation for new employees.
• In conjunction with the Executive Assistant and various section Supervisors ensure that the administration functions of the organization are efficient and effective.
• Perform other duties consistent with the level of this position and the principles of broad banding as requested.
• Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
• Contributes to team effort by accomplishing related results as needed.

• Coordinate and arrange training requirements of all personnel
• Type correspondence, reports and other documents; Send faxes and maintain confidential records and files (Hard copy and electronic filing system).
• Prepare reports by collecting and analyzing information.
• Secure information by completing data base backups.
• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
• Open, sort, and distribute incoming correspondence, including faxes and email
• File and retrieve corporate documents, records, and reports
• Prepare responses to correspondence containing routine inquiries


• Candidate must be having a minimum of 3 years experience in similar role.
• Must be having expertise in MS Excel
• Must be able to draft e-mails, memorandums etc.
• Male candidates are preferred.
• Must be knowing HR related jobs.
