Employment: Full Time

Under the general supervision of the Education Administration Manager, this position provides high-level administrative support to the Office of the Senior Associate Dean for Medical Education and CPD, and to the medical education senior administrators. The incumbent is responsible for a wide variety of tasks and projects that will require a high degree of professionalism and use of judgment. The incumbent will also be expected to work fairly autonomously, and be able to problem-solve and handle ad hoc business requests as required.

Job Responsibilities
• Responsible for the development and maintenance of a centralized calendar to manage the operational functions of the division. Co-ordinates the planning and logistics for divisional events. Organizes appointments, group meetings and conference calls.
• Generates various fiscal reports for analysis and distribution. Assists with identifying and resolving discrepancies with actual expenses and reporting.
• Co-ordinates the development of new fiscal data spreadsheets and the continuous monitoring of expenses. As required, initiates shopping carts ensuring compliance with WCM-Q financial policies and procedures.
• Is responsible for maintaining and updating a catalogue of SOPs and policies and procedures relating to the educational and operational functions of the Division of Medical Education.
• Assists with the development of the SOPs and policies and procedures, including seeking out information to inform best practice.
• Is responsible for maintaining the terms of reference and membership lists for divisional committees, and generates appointment letters. As required, compiles and distributes agendas and materials, and records and transcribes minutes of meetings.
• Responsible for maintaining the records for the annual teaching and Senior Honors Convocation awards. Co-ordinates the awards administration and selection process
• Provides word-processing, spreadsheet and presentation software services, including drafting routine correspondence, and collates information and prepares reports for ad hoc projects as required.
• Assists with the development and maintenance of a divisional electronic filing system, and a records retention database. Also assists with the maintenance of the online academic leave management system and co-ordinates processing of leave requests.
• Co-ordinates the exam ordering process for the National Board of Medical Examiners (NBME) exams and provides score reports to curriculum Deans and Staff as required. Acts as Chief Proctor for the exams as required.
• Prepares itineraries and coordinates the arrangements for ad hoc visitors.
• Provides support to Office of the Senior Associate Dean for Medical Education and CPD and other divisional activities. Maintains strict confidentiality and security of exam, student and faculty related information.
• Performs other related duties as assigned.

Requirements

• Bachelor's Degree in related field
• Minimum 4 years’ experience in higher education.
• Previously demonstrated ability to work effectively with diverse populations and cultures desirable.
• Use of SAP or a similar software management tool to generate fiscal reports an advantage.

Knowledge, Skills and Abilities
• Previously demonstrated proficiency in planning, problem solving and analytical skills.
• Must be attentive to detail with a high degree of accuracy.
• Demonstrated advanced written and oral English communication, and presentation skills.
• Previously demonstrated advanced organization, and interpersonal skills.
• Advanced level proficiency in MS Suite of products including Word, Excel and Power-point.
• Experience with database software or enterprise resource systems.
• Must be able to work independently and use sound judgment to execute assignments.
• Previously demonstrated advanced level multi-tasking ability in a results oriented environment
• Must be able to demonstrate assertiveness, and the ability to be proactive.

• Flexibility in working hours as required.
