Job description / Role

Employment: Full Time

- The purpose of the role is to manage the organisation Head Office with specific focus on administration including front office management, in order to ensure that the business runs smoothly.
- The candidate will also be required to act as a point of contact to ensure that all the stores, branches are compliant with the legal requirements.

Job Functions:

Administration
- Effective and cost-effective management of the entire spectrum of administrative activities like asset management (maintenance and cleaning), purchasing, front-office management, archive management, resource management (cleaning staff – internal and outsourced as well as driver), disaster management etc in order to manage the smooth running of the HO.

Timely renewal of all licenses
- Manage the renewal of all office, warehouse and stores licenses prior to the expiry date including, but not limited to, the commercial register, trade/municipal, civil defense and signage licenses.
- Updating of the license file every 2 weeks and sharing with Group Admin Manager.
- Timely and cost-effective management of all business travel
- Manage the business travel requirements which include tickets, visas, hotel accommodation, car arrangements, etc in order to ensure that business trips are arranged in a timely and cost-effective manner.

Cost-effective management of departmental Budget
- Manage the departmental budget in a cost-effective manner and in-line with company policies.
- Timely renewal of all insurance policies and/or other agreements
- Manage the renewal of all insurance and/or other company agreements in a timely and cost-effective manner.

People Management
- Manage, develop and motivate the team by leading-by-example in order to maintain a fully engaged workforce. Manage the appraisal, training and other requirements for the department in order to meet the HR guidelines.

Requirements

Education & Qualifications
- Bachelors Degree
- Experience 3 to 5 experience with 2 years in a similar role
- Experience within a retail company highly preferred
- Specialized Training-Well versed with MS Office and internet research
- Fluency in written and verbal English and Arabic mandatory
- Knowledge of the local culture and sensitivities
- Knowledge of the retail business and its functions
