We are seeking an experienced Assistant Facilities Manager to join our team and ensure the smooth operation and maintenance of our facilities. 

You will oversee the day-to-day activities, manage the maintenance and repair work, and coordinate with various stakeholders to ensure the efficient functioning of our facilities.

Main responsibilities will include:

• Control the day-to-day operational activities of the various facilities operations and suppliers across the site.
• Manage vendors and contractors to ensure operational performance, ensuring that all team members follow the approved procedures and adhere to uniform standards.
• Complete daily site inspections to proactively identify risks to health and safety across the site on a daily basis by identifying hazards both physical and working practices and taking appropriate corrective action.
• Ensure that all contractors are issued and are following the permit to work system, specifically hot works.
• Accurately report all asset failures through the agreed processes and follow up with contractors to ensure a timely and suitable resolution.
• Ensure escalation procedures are in place and observed for incident and problem reporting.
• Audit best practice procedures in line with the Macro procedures for HSE, Quality and technical standards.
• Carry out supplier meetings and complete supplier KPI's at the end of each period.
• Manage all training documentation for contractors and ensure all relevant information is up to date, including the Training Matrix and Competency Certificates as required.
• Ensure all reports and other relevant data is regularly updated.
• Establish, review and enhance processes to support and facilitate customer service delivery.
• Coordinate with internal stakeholders for administrative support.
• Participate with environmental management system updates.
• Undertake any other reasonable task as required by the management team.
• Engage with regional and global colleagues to ensure monthly KPIs are achieved and share knowledge/achievements/challenges.
• Coordinate with reviews of Business Continuity Plans and Emergency Management Plans.
• Undertake tenancy warden responsibilities in an emergency situation.


The ideal candidate will have the following experience:
• Relevant facilities management and customer service experience.
• Degree of Diploma level of education standard preferred.
• Basic Health & Safety qualification (i.e. IOSH) including knowledge of Risk Assessment Method Statements.
• Knowledge of the core Microsoft Office suite of applications.
• Experience managing and motivating supply chain teams.
• Experience working in a global company preferred.
• Develop strong working relationship with the business to support the operations.
• Able to solve problem and to take appropriate decisions.
• Flexible and adaptable attitude working hours to match business needs preferred.
• Demonstrates accuracy and thoroughness: Looks for ways to improve and promote quality.
• Adapts to changes in the work environment through balancing competing demands.
