Employment: Full Time

General Job Description
• The Division Coordinator is the point of contact for the division and its brands internally and externally and should be ready and open to all forms of communication (emails, phone calls, meetings, interviews etc) with all the available skills associated with this role (including but not limited to: writing, reporting, summarizing, planning, recording, conducting teleconference, and web conferences etc).

Responsibilities

Division Organization
• Oversee the division structure, job descriptions, vacancies, and employees’ contracts.
• Maintain and update the record of division policies, SOPs, KPIs Dashboards and reports
• Coordinate and report all the division projects.
• Collect peer evaluation comments from the division departments including: positive, negative and escalations.
• Maintain and monitor the record of actions plans for the division departments
• Maintain and update the record of escalations received from other company departments.
• Maintain and coordinate the top management meetings and files (Action plan, Reports)
• Cover up for employees in the division during their vacations or emergencies
• Maintain and update the record of the documentation cycle for all the division's processes on AX.
• Keep a record for all the manual requests and letters issued by the division.

Brands Communication and Coordination
• Keep a consistent flow of communication on with the Brand and Keep a track record of all the important communication done with them ready.
• Ensuring that important Emails are saved and can be retrieved when required.
• Plan and conduct meetings, visits and phone calls internally and with the brands.
• Build the products order basis the store openings and sale projections.
• Placing them to the Brand and follow up on its delivery.
• Coordinating with shipping, logistics and warehouse team for its safe arrival. Making sure products are registered in SFDA systems, and notification.
• Solve general issues and problems with the help of support departments effectively.
• Keep the Brand informed about all the important activities like new store openings, new product launches, product enhancements etc.
• Keep Brand and stores related emails and documents organized. Like various agreements, stores approved layouts, other approvals etc.
• Share regularly financial data with “Brand” like sales, profitability, costs, royalty and other fee.
• You will be sole responsible for maintaining the confidentiality of the information.
• Keep a complete database of all brand guidelines provided by the mother brand and avail whenever requested.
• He should update any new file or design or announcement provided by the brand.
• Accommodate jobs, customer feedback, or franchise applications coming to the brand with professional manners.
• Follows up with the concerned team to make sure the communication is done accurately and timely.
• Manage or coordinate all the brand projects with the support of other teams.
• Manage and coordinate all the franchising activities for the brand.
• Division Development
• Manage Transportation Accounts for the division (like Uber, Careem etc).
• Handle the uncategorized procurement for the division.
• Participate in division development projects.

Salary:
SAR 3,500 to 5,000 per month inclusive of fixed allowances.

Requirements

• Candidate Must Have Good working knowledge on MS office Specially on Excel
• Good English - Arabic is added advantage
• Age not more that 34 years
• Working knowledge on Any ERP
• Must be Graduate in any stream
• Must be available on Sponsorship transfer - with valid Iqama

The total number of stores continues to grow.

Our Expansion:

We have huge expansion plans in the kingdom and opening 20-22 outlets in 2016 in and around Saudi Arabia. With this expansion comes the requirement of manpower for the business extension.
