Job description / Role
Manage company registration and selected RfP submissions in KSA, including support on the Etimad Portal. Serve as the main point of contact for registration-related queries, coordinating with clients and internal teams. Ensure registrations are current, RfPs are tracked and submitted on time, and contribute to improving related processes through best practices.
Responsibilities :
KSA Company Registration & Client Liaison
• Manage the registration of firm on client and government portals, ensuring timely submission of accurate documentation to client and relevant authorities.
• Maintain valid and up-to-date company credentials by proactively tracking renewal timelines and coordinating with relevant stakeholders.
• Act as the go-to contact for all registration-related queries from internal teams and clients.
• Maintain a detailed tracker of all company registrations and ensure data accuracy.
• Coordinate with internal departments (BOMs, Legal, Finance, HR, Office Management) to compile and submit documentation.
• Build and sustain strong relationships with client procurement teams and government entities through proactive communication and site visits.
• Monitor and respond to changes in portal requirements and ensure firm is registered on all relevant public and private sector RfP platforms.
• Monitor and scan public RFPs and RFIs (hourly) across Etimad and other platforms, flagging relevant opportunities to sponsoring partners.
• Coordinate with partners to facilitate timely bid/no-bid decisions and support follow-up on pending inputs or approvals.
• Summarize key RfP submission requirements, including technical documentation, and deadlines, and share with relevant stakeholders.
• Prepare responses to standard company qualification requests and ensure timely submission of supporting documents.
• Support partners by submitting clarification questions, bid extension requests, and following up on cancellations, award results, or changes in scope.
• Manage the logistics of proposal preparation and submission, including purchasing RfP documents, packaging, and timely delivery of physical proposals.
• Maintain and update trackers of RfP timelines: submission, clarification, pre-bid meetings, and awarding.
• Provide backup support to the RfP team as needed.
• Provide support on Etimad Portal submissions.
• Coordinate with other RfP and C&M teams on shared opportunities.
• Support the continuous improvement of the registration and RfP processes by identifying challenges and contributing to workflow, automation, and standardization enhancements.
Requirements:
• Bachelor’s degree in Business Administration, Economics, or related field.
• 2 years+ of relevant experience in company registration, RfPs, proposal management, business development or a similar role within a consulting or professional services environment in Saudi Arabia.
• Proficiency in MS Office and Suite productivity tools (drive, G-suite, etc.)
• Strong organizational skills and attention to details to handle effectively multiple priorities and meet tight deadlines
• Excellent verbal and written communication skills with the ability to effectively articulate complex ideas
• Ability to work independently in a fast-paced and unstructured environment
• Proactive mindset, problem-solving abilities, and a commitment to delivering high-quality work
• Service-oriented attitude, proactive thinker, team player
• Strong interpersonal skills and ability to build relationships with seniors and various stakeholders across levels
