We are currently looking for EDMS System Manager to be a part of our team in Saudi.

This role requires a combination of advanced technical skills, a logical and thorough approach and the ability to interpret business needs against system potential, taking an active lead in what is achieved using the system. The role will require a growing element of project management as the set-up team reduces once the system becomes a ‘business as normal’ tool. It would be extremely beneficial if the candidate is able to develop or largely contribute to the preparation of management plans such as the Communication Management Plan, Stakeholder Management Plan.

The candidate will be trained on the newly developed Business Management System’s configuration which will be developed to meet business needs. He will become the technical lead for this tool.

Responsibilities
• Configure new projects which will require interpreting supplier and internal needs/ processes which will require adaptation of set up.
• Support the business in specifying and implementing the transfer of data between systems (Existing system is called ‘Filestream’; new system most likely ‘Oracle Unifier’)
• Support the client IT Team managing servers used by the EDMS by diagnosing and resolving issues
• Oversee the processes around upgrade preparations which involves working with a testing team, creating test scripts and updating the Administrator version of the software.
• Work closely with our internal IT service to agree a joint programme of work to resolve current issues and meet future developments.
• Liaise with the client IT Team for software provider support arrangements
• Review and recommend routine change and improvements to security arrangements.

EDMS Systems Manager is responsible for ensuring that the document management processes are adhered to.
• The formal issue of documentation.
• Ensuring all documentation is issued in the company style and format.
• Maintaining the documentation register.
• Maintaining the master library of documents.
• Verifying official receipt of issued documents, with document recipients.
• Drawings, spreadsheets, databases, and project plans may be embedded within documents and will be produced with the tools listed below: Drawings Microsoft PowerPoint (within textual documents) and AUTOCAD or Microsoft Visio for formal drawings; Spreadsheets: Microsoft Excel; Databases: Microsoft Access; Programmes: Microsoft Project.
• Other systems’ experience beneficial: Oracle Systems, Oracle Unifier, Sharepoint, Filestream.

Requirements

• Experience managing and using an EDMS system is expected, experience in communication infrastructure construction environment is highly preferred, but not essential
• Previous experience with Oracle Unifier will be highly regarded, but not essential.
• Must understand Document Management principles with experience working in Programme Management Office (PMO) or a large project office.
• Experience working in environments with high security protocols are highly beneficial.
• Experience working with NDR 3000 (Network Design Requirement 3000) handover processes will be highly beneficial.
• Experience managing integration between systems including exporting/ importing data.
• Understand the principles of applying security; i.e. Users, Groups etc in an enterprise wide environment
• Be able to diagnose computer errors in hardware, security issues and fault patches
• Experience of working with servers will be helpful.
• Helpful to have some general background in programming, including Visual basic or Visual Basic for Applications, but not essential.
• SQL Server Skills an advantage
• Experience in CAD areas like 3D, 4D, REBAR etc an advantage, but not essential

Other skills and experience required:
• Ability to work effectively with a team separated in several geographical locations.
• Ability to communicate at all levels with experience of preparing and delivering presentations to explain new ideas.
• Past experience of dealing directly with clients and the professionalism this interface requires.
• Experience in delivering to the internal client and working directly with other parties such as internal IT and supplier organisations.
• Experience in delivering training an advantage.
• Ability to plan all stages required for a task completion with proven implementation skills.
• The candidate needs to be a confident and effective communicator.
