As an Executive Administrator, you are the first point of contact for Deloitte for the Audit Advisory team, part of the Audit division. You must be able to confidently and positively communicate with staff, clients and all levels of Management.

Responsibilities
You will provide flexible, professional general administrative and clerical support,including:

General Secretarial Duties:
• Using internal systems to process invoices, timesheet completion and expense claims on a timely basis;
• Organizing and setting up facilities for meetings, video and telephone conference calls both internally and externally;
• Booking and coordinating all travel and accommodation in accordance with the internal travel policy;
• Handling of general queries
• Arrangement of client meetings/venues
• Answering telephones and timeous delivery of comprehensive messages
• Typing/formatting of proposals/engagement letters
• Compiling and finalizing reports (particularly Excel)
• Ensuring all standard documents are completed
• Maintaining the book of contacts

Administration Duties:
• Filing - full responsibility of filing room and maintenance of files (integral to this position)
• Updating and administering of proposal log
• Understanding of all admin processes and ability to guide staff to required documentation particularly for expense claims
• Advise and assist staff on admin queries
• Organizing all of the administrative activities that facilitate the smooth running of an office.
• Make sure that office equipment is maintained, relevant records are up to date and that all administration processes work effectively.
• Responsible for all office admin staff and ensuring they complete their responsibilities
• Using a range of office software, including email, spreadsheets and databases;
• Managing filing systems;
• developing and implementing new administrative systems, such as record management;
• recording office expenditure and managing the budget;
• organizing the office layout and maintaining supplies of stationery and equipment;
• maintaining the condition of the office and arranging for necessary repairs;

Requirements

• A positive attitude to dealing with people including staff, clients and suppliers at all levels
• Ability to effectively communicate by telephone, face to face, email and written, and the ability to work within a team
• An excellent telephone manner and strong interpersonal skills
• Knowledge and ability to use proficiently standard office computer software, including word-processing, databases and spreadsheets
• Ability to use email and Internet applications
• Well-developed organization and time management skills, and the ability to work on own initiative, accurately to tight deadlines, and to prioritize between conflicting demands
• Ability to work independently, including maintaining filing systems, databases and straightforward diary management
• Ability to engender and maintain trust and confidentiality in the provision of administration support
• Previous experience of working at mid admin career level
• Strong MS Office and IT skills (MS Word, Excel, PowerPoint, Outlook)
• Ability to use own initiative and work autonomously as well as part of a team
• Must have a keen and flexible approach with a proactive “can do” attitude
• Excellent organizational skills ensure the effective support of the Partners, Directors and Assistant Directors, particularly around diary management
• Ability to priorities a heavy workload and work effectively under pressure
• Diplomatic, discreet, polite & patient
• Strong interpersonal skills, ability to build and maintain relationships with senior executives, clients and internal stakeholders
• Saudi National is required
