Employment: Full Time

A requirement has arisen for an Office Manager to join our team in KSA. This individual will be responsible for the efficient running of our KSA office.

The Office Manager will report directly to the Regional Business Administration Manager.

Primary responsibility is to lead the local office administration team and proactively manage the day to day running of an engineering design practice basis in Riyadh.

The Office Manager will review and develop and implement the office administrative systems, such as record management and ensure the administration team complies with corporate business management systems.

The responsibilities of the Office Manager will be varied and challenging; and will include though not limited to:
- Facilities management for the Riyadh office; in the order of 40 full time office based staff; and coordinating with our site based teams; and coordinating with a regional administration team.
- Maintaining Corporate Registrations;
- Maintaining Insurance Policies (office and projects);
- Management of Lease agreements/contracts;
- External Relationship Management;
- Authorising non-project related expenditure;
- Maintaining supplies of consumables, maintaining the condition of the office (clean, orderly and safe), arranging for necessary repairs, management of subcontractors and vendors and undertake regular reviews of the supply chain to ensure value for money.
- Line management of the administration support team; conducting staff appraisals and managing the team performance;
- Ensuring adequate staff levels to cover for absences and peaks in workload;
- Office orientation for new starters
- Conduct regular working environment safety audits
- Active member of the fire warden team
- Owner of the Business Continuity Plans and emergency/evacuation plans;
- Providing updates (travel, security, health & safety) on our internal web based platform;
- Must have the ability to deal with confidential and sensitive issues and maintain an impartial position on confidential matters at all times.

Requirements

It is envisaged that the successful candidate will be a degree holder and would have more than a total of 12 years working experience; which will include over 5 years’ experience in a similar responsibility of which a minimum of 3 years must have been gained within the Middle East.

- Minimum of 5 + years’ experience working as an Office Manager.
- Minimum of 3 years Middle East experience.
- Must have facility management experience, preferably in the Middle East
- Excellent Communication skills (verbal and written English) and the ability to work closely with team members located in different offices
- Self-starter, confident, proactive character, with the ability to take the lead in challenging situations.
- Ability to solve problems and see the solution through to conclusion.
- Team player with the ability to lead and work with minimum supervision.
- A competent user of Microsoft Office software, with experience of web based collaboration tools

Desirable Experience
- Fluent Arabic speaker is preferred
- Experience of working within multicultural teams
- Experienced of working in KSA
- Office based Health and Safety responsibilities
- Previous experience of managing an engineering practice office
