Employment: Full Time

The Operations Support Supervisor is responsible for supervising delivery of operational and logistical project support within KSA as directed by the Operations Manager and Country Director as per company standards, policies and procedures.

They will also be required to develop and maintain relationships with a range of internal and external stakeholders to ensure a collaborative approach in managing operational and logistical support to projects within KSA and to ensure an effective interface between operational and project teams.

Requirements

Responsibilities & Duties including

- Support Operations Manager with all day to day operational activities.
- Assist Operations Manager with development and implementation of operational strategies in support of the KSA business growth plan.
- Liaise with KSA project teams to identify requirements and supervise delivery of operational and administrative solutions.
- Support Operations Manager during the new staff recruitment process liaising with Recruitment team, Hiring Managers and Immigration team.
- Responsible for coordinating the final mobilization and on boarding of new staff including arranging arrival logistics, iqama medicals and conducting local staff induction and orientation presentations.
- Liaise with 3rd Party Suppliers to maintain existing relationships, identify new suppliers for services and establish new agreements as required.
- Manage project staff accommodation including preparation of allocated units for new arrivals, arranging required services and addressing issues raised by staff with the accommodation provider regarding repairs, service problems, etc.
- Coordinate transport / logistics provision for project staff in conjunction with Logistics Coordinator and Administration staff.
- Responsible for review and approval of driver’s weekly time sheets and expense claims.
- Responsible for review of supplier invoices and allocation of costs.
- Initial point of contact for issues raised by project staff such as personal issues, disciplinary and grievances, expenses issues, etc.
- Assist with office management as required such as posting staff notices, office repairs coordination, receipt of project staff deliveries.
- Assist with preparation of Operations related sections of regular reports in timely support of the Operations Manager and F+G Senior Management.
- Assist Operations Manager with facilitating and organizing events as required (i.e. meetings, workshops, social events, monthly cascades and Directors Engagement Tours).
- Coordinate visits of senior management to KSA.
- Deputise for Operations Manager in his absence as authorized.
- Act as designated F+G signatory for required company documentation in support of operational requirements as authorized.
