Job description / Role
We are seeking a highly organized and proactive Personal Assistant to provide administrative and secretarial support to our executive team in the Oil & Gas industry. The successful candidate will be responsible for managing calendars, arranging travel, coordinating meetings, and handling confidential information with discretion. This role offers a unique opportunity to work closely with senior leadership and contribute to the smooth operation of the organization.
Responsibilities:
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Prepare and organize meetings, including scheduling, agenda management, and minute taking.
- Act as a primary point of contact for internal and external stakeholders, exercising discretion and confidentiality.
- Handle incoming and outgoing communication, including emails, phone calls, and correspondence.
- Assist in the preparation of reports, presentations, and documentation.
- Coordinate and liaise with other team members and departments as necessary.
- Conduct research and compile data to support executive decision-making.
- Assist with personal tasks and errands as needed.
Requirements:
- Proven experience as a Personal Assistant or similar administrative role, preferably within the Oil & Gas industry.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Typing speed of at least 55 words per minute
- Strong communication and interpersonal abilities, with the capacity to build and maintain professional relationships.
- Proficiency in handling confidential information and maintaining discretion.
- High level of proficiency in office software applications, including Microsoft Office suite.
- Ability to work independently and take initiative, while also being an effective team player.
- Flexibility and adaptability to handle changing priorities and unforeseen challenges.
- Bachelor's degree in business administration, management, or a related field is preferred.
- Shorthand is preferred
