Job Description
We are seeking a highly organized and efficient Personal Assistant to support our General Manager (GM) in our Jeddah, Saudi Arabia office. The ideal candidate will be responsible for managing the GM's day-to-day activities, ensuring smooth operations, and providing exceptional administrative support.
- Manage the GM's calendar, including scheduling meetings, appointments, and travel arrangements
- Handle confidential information and correspondence with discretion and professionalism
- Prepare and edit documents, reports, and presentations for the GM
- Act as a liaison between the GM and internal/external stakeholders
- Coordinate and organize meetings, including preparing agendas and taking minutes
- Manage incoming calls, emails, and requests, prioritizing and responding as appropriate
- Assist with expense reports and budget tracking
- Coordinate travel arrangements, including flights, accommodations, and itineraries
- Provide general administrative support to the GM's office as needed
- Anticipate the GM's needs and proactively offer solutions to potential issues
Qualifications
- Bachelor's degree in Business Administration or related field (preferred)
- Minimum 3-5 years of experience as a personal assistant or executive assistant in a corporate environment
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Demonstrated ability to handle confidential information with discretion
- Exceptional multi-tasking and prioritization skills
- Problem-solving abilities and proactive approach to challenges
- Experience in calendar management and travel arrangement
- Fluency in Arabic and English (both written and spoken)
- Ability to work in a fast-paced environment and adapt to changing priorities
- Strong interpersonal skills and professional demeanor
- Attention to detail and accuracy in all tasks
- Familiarity with the company's industry (preferred)
