Job Description

We are seeking a highly organized and efficient Personal Assistant to support our General Manager (GM) in our Jeddah, Saudi Arabia office. The ideal candidate will be responsible for managing the GM's day-to-day activities, ensuring smooth operations, and providing exceptional administrative support.

  • Manage the GM's calendar, including scheduling meetings, appointments, and travel arrangements
  • Handle confidential information and correspondence with discretion and professionalism
  • Prepare and edit documents, reports, and presentations for the GM
  • Act as a liaison between the GM and internal/external stakeholders
  • Coordinate and organize meetings, including preparing agendas and taking minutes
  • Manage incoming calls, emails, and requests, prioritizing and responding as appropriate
  • Assist with expense reports and budget tracking
  • Coordinate travel arrangements, including flights, accommodations, and itineraries
  • Provide general administrative support to the GM's office as needed
  • Anticipate the GM's needs and proactively offer solutions to potential issues

Qualifications

  • Bachelor's degree in Business Administration or related field (preferred)
  • Minimum 3-5 years of experience as a personal assistant or executive assistant in a corporate environment
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Demonstrated ability to handle confidential information with discretion
  • Exceptional multi-tasking and prioritization skills
  • Problem-solving abilities and proactive approach to challenges
  • Experience in calendar management and travel arrangement
  • Fluency in Arabic and English (both written and spoken)
  • Ability to work in a fast-paced environment and adapt to changing priorities
  • Strong interpersonal skills and professional demeanor
  • Attention to detail and accuracy in all tasks
  • Familiarity with the company's industry (preferred)
