Project Management Specialist - Process and Tools

Role Summary:
- To support the Operations, Project Management, Finance and Planning teams for Processes & Tools Implementation and related administrative activities against continuous updates and changes required by the organization during project management excellence and transformation programs.

Essential Responsibilities:

Responsibilities:
- Responsible for defining, deploying and managing project management related processes and support tools.
- Contributes to the development of an operational year plan for own department activities of the team. Discusses consequences of changes in products and processes for the own team in the organization.
- Works together with people from the business unit. Contacts are under guidance and/or geared towards collecting or giving technical information. Targeted clients. Contracts are predefined and a framework of conditions is set and followed.
- Accept any assignments by the Unit Management to support the unit in transformation activities including cost optimization, new process development, tools implementation that currently supports the existing ERP/PM tools and administer such tools after implementation.
- Arrangement and timely creation of dashboards for OTR reporting that is required for periodic project reviews by regional and sector management.
- Take lead in developing the processes related to project management, agree with regional stakeholders and implement such processes with the involvement of country/regional quality managers.
- Implement, Administer, Control and provide adequate training to the local team for the usage of different tools including Time-Control (TC), CONCUR, SAP (MM module), P6 supporting tools like Unifier, etc.
- Analyze Reports from Time Control and report related corrective actions to be performed by Direct managers of employees; Further enhance analysis of TC reports to help management and finance analyze the productivity of the Unit and identify factors that cause major variation in the productivity percentages along with the recovery plans for improvement of productivity
- To coordinate with country and regional business stakeholders on clearance of internal RFIs on timely basis. Report weekly progress to the regional management if required.
- Establish process and policies to reduce the RFI's
- Take lead to simplify the GRN policy paper against new revenue recognition guidelines and create summarized versions for the region as a quick reference guide
- GRN quality and integrity awareness to be re-enforced along with mentoring of operational colleagues with the nature and types of documentations required against each specific GRN
- Continue to administer GRN postings and implement quality checks to ensure that GRNs are not delayed due to delays in related predecessor activities.
- Identify potential pockets for cost optimization and prepare plans for implementation of policies and procedures to materialize cost optimization and related savings.
- To extend all the necessary administrative & technical support for the operations and finance teams during quarter and yearly closing and during events and trainings.
- Support Operation Director in day to day activities related to project execution and act as a liaison among various project operation departments to ensure timely flow of required information.

Requirements

Qualifications/Requirements:

Educational Requirements
- Bachelor Degree in Business Administration/ Master's degree in relevant field preferred.

Desired Knowledge / Experience
- Shall have at least 5 years of experience in Process & Tools administration related to GE Project Management and Project Planning

Behavioral Skills / Competencies
- Excellent communication skills, disciplined, fluent English, strong reporting skills, leadership capabilities, excellent team player; influencing skills

Technical Skills & Competencies:
- Strong knowledge of SAP tools specially MM and CATS module, Time Control; Unifier; Visio are mandatory.

Desired Characteristics:
- Person responsible will be required to build strong relations internally with operational and corporate teams by establishing an excellent channel of communication for the implementation of transformation tools and related activities.
- Person would also be responsible for planning, preparation, roll out and control of different processes acting as a change leader, considering best balance to be maintained between enhancing excellence in project management and cost optimization.
