Job description / Role

Employment: Full Time

Key purpose

The purpose of the Accountant is to work with the Finance Manager in managing the finance functions of the facility in using applicable systems.

Structure and reporting relationship

Typically reporting to a Finance Manager or Section Lead.

Key accountabilities

Accounts Receivable

- Generates invoices for recoverable expense and expense reimbursements.
- Create receipting entry for the rent & service charge collection
- Update Accounts Receivable Aging Report

Accounts Payable

- Review of invoices ensuring proper backups are provided, amounts are matching the related Purchase Orders or as per the agreed service contract
- Create A/P invoice register in Oracle. Validate Shopping carts and matching against the PO created in SRM.
- Coordinate with Corporate Finance to ensure payment is processed on timely basis

Purchase Orders

- Review of shopping carts/purchase order created by Requisitioners for online approvals
- Ensure correct allocation of expense type, property code and GL account code were entered
- Ensure that cost allocated are budgeted

Cash Accounts

- Assists in monitoring of any collections received online (Service charge, rent, reservation & security deposit)
- Ensure any collections are deposited timely
- Prepare monthly bank reconciliation for all bank accounts, (Service charge, Rent bank accounts and Sinking Fund)

Monthly Accounts

- Prepare monthly expenses accruals for Aldar & Corporate Finance (SAP and Oracle)
- Review of open Purchase Order in SAP and closing of completed/approved PO
- Ensure all supplier invoices on hand are created in the system for online approval
- Ensure all utility expenses are allocated in correct period and property
- Assist in preparing the monthly OPEX report ensuring that expenses are properly allocated to respective project.
- Assist in preparing a detailed financial report for client reporting

Budgeting

- Assists in periodic budget preparation and forecasting
- Ensure that approved budget is uploaded in Oracle.
- Creation of WBS elements for SAP for new budget codes.

Year End Audit

- Assist in preparing property service charge reconciliation report listing all expenses per GL code posted under the service charge period
- Assist in Preparing analysis of Service Charge expenditure report vs. approved budget
- Assist external auditor for any queries with regard to Service Charge Audit

Routine Tasks

- Reviewing of purchase orders
- Receiving vendor invoices
- Accounts receivable aging report
- Accounts payable aging report
- Monitoring of GL transaction in SAP ensuring proper allocations

Month-end Tasks

- Income and expense accruals Aldar & JBI books
- Preparing and posting of Bank Reconciliation report
- Assist in preparing the month end financial report
- Month end closing

Adhoc

- Perform any ad hoc tasks assigned by Finance Manager on regular basis.

- Ensure compliance with all training requirements of Serco and ensure adherence to these requirements at all times whilst in employment
- Awareness of the Integrated Management System and the content of the Environment, Quality, Health & Safety and Information Security Policy Statements
- Understanding of personal responsibilities and contribution to achieving compliance with the Integrated Management System requirements, (including but not limited to competence to perform safety critical roles, legal requirements, control measures arisen from environmental impacts and aspects, job safety analysis and information security risk assessment) and the potential consequences of departure from the arrangements in place to deliver the commitments stated in the policies statements above
- Exercises their personal duty of care for their own health, safety and welfare and for those affected by the acts or omissions
- Promotes a good HSQE and Information Security culture among their peers, subcontractors and third parties
- Leads by example and look at ways to conserve energy, water and resources and minimise the generation of waste through personal performance and raise recommendations on how to improve existing processes on this regard within/outside their departments through their Line Manager, Departmental Safety Meetings and any other appropriate available channels
- Protects information assets and data including both electronic and paper based from all threats whether internal, external, deliberate or accidental
- Promotes a good HSQE and Information Security culture among their peers, subcontractors and third parties.

Requirements

Essential technical and professional skills, knowledge and qualifications

Technical and Professional Skills

- 5 years minimum experience in General Accounting and Finance.

Knowledge

- Ability that has been acquired through training or previous work experience
- Detail oriented
- Ability to handle multiple tasks in a pressurized environment
- Ability to provide quality output and meet demanding deadlines and schedules
- Exercises good judgment and decision-making skills
- Excellent communication (written and verbal) and analytical skills with ability to process information quickly
- Fluent in English (reading, writing, and speaking)
- A team player and capacity to develop professional relationships with colleagues, clients, and service providers
- Theoretical and practical understanding of functional area of a subject or specialty
- Highly proficient in MS Office - Excel, Word, Outlook
- Knowledgeable in SAP (SRM) and Oracle Financials preferred

Qualifications

- Has Bachelor's degree in Accountancy or any equivalent qualification
- Defines the period of exposure to the functional or technical area of specialty
