Job Title: Admin and Procurement Executive

Reports to: Finance/ Admin Manager

Job Location: Dubai


PURPOSE OF THE POSITION

Responsible for the day-to-day general administration and HR activities of the organisation, assisting the RGM and supporting the staff team.

Requirements:

· 3-5 years’ experience in Admin & procurement is prefer.
· Self-motivated, flexible approach to work, leadership skills, and customer oriented
· Gulf experience and dealing with the ministries such as labour, foreign affairs are preferable.

PRINCIPAL TASKS & RESPONSIBILITIES

Admin:

Undertake general administrative duties including:

· Preparation and dealing Govt. department for getting events related approvals
· Securing the approval from the management for various forms etc. ( trf, it, erp, rfi, pprf, pifs,) for whole MENA departments
· Preparing staff reimbursement claims for business travelling
· Filing, copying and faxing.
· Collation and distribution of minutes, reports and other documents.
· Dealing with incoming and outgoing mail and general emails for all UAE offices
· Ordering of equipment, materials and office supplies for all UAE offices and warehouse.
· Minute taking for board, team meetings and other meetings as required.
· Prepare contracts for suppliers as advised.
· Assist in matters relating to marketing and publicity for the company.
· Maintain the central filing system, general database and archive.
· Provide administrative support for matters relating to the premises and operations
· Including security, alarms, opening, insurance and transport.
· Maintain close links and inform the RGM of all issues likely to affect the
· Operation of junction arts.
· Keep tracking new vendors for printing purposes and other related materials including travel agencies

Other Duties:

· Work alongside other staff to contribute to the development of junction arts as a whole.
· Ensure junction arts’ policies and best practice are adhered to, including health and
· Safety, equal opportunities and customer care, at all times.

Line Management:

· Management and supervision of volunteers and placements as agreed.

Miscellaneous:

· Undertake such other duties and responsibilities of an equivalent nature as from time to

· Coordinate and work on ad hoc project.

Requirements

Qualifications:

Educational or Experiential Requirements for the Job

· Bachelor’s Degree
· Multilingual (English/Arabic and other languages also preferable)
· Minimum of 2 years of experience in UAE or GCC in Administration
· Previous experience in Procurement is highly preferred
