Job description / Role

Employment: Full Time

Our client is currently looking for an 'Admin Assistant' to provide quality front of house corporate reception services for the Abu Dhabi office in a professional and efficient manner to cover core business hours of 9:00 am to 6:00 pm.

Responsibilities & Duties:
• Answer incoming external calls and internal calls in a timely and efficient manner.
• Assist with telephone and voicemail training as required.
• Take messages and email to partners and staff as required.
• Contact relevant secretary/fee earner to advise of client arrival.
• Show clients through to correct meeting room.
• Offer/deliver refreshments to clients and staff.
• Respond to requests for assistance during the meeting in a timely manner, e.g. refreshments, copying documents etc.
• Take and record meeting room bookings for both internal and client meetings including number of attendees, catering and equipment requirements.
• Take and record video conference bookings.
• Set televisions to video-conferencing mode before video conference meetings begin.
• Set up IT equipment required for meetings and/or liaise with IT if necessary.
• Coordinate the furniture set-up of meeting rooms/function set up.
• Ensure meeting and waiting rooms are clean and tidy before and after every meeting.

• Sound written and verbal communication skills.
• High standard of personal presentation and grooming.
• A strong team player.
• Very good interpersonal and verbal communication skills.
• Strong organisational and time management skills.
• Ability to work with minimal supervision.
• Working knowledge of MS Office 2010.
• At least three years relevant experience in a professional office working as a receptionist/office administrator.
