Job description / Role
The Admin Secretary, reporting to the managing director, provides a combination of administrative, clerical, and basic accounting services to ensure smooth office operations. This role requires managing schedules, maintaining office systems, and supporting accounting functions such as record-keeping, invoice processing, and cash flow tracking. The ideal candidate is organized, detail-oriented, and skilled in office administration and basic accounting tasks.
Key Responsibilities:
Administrative Tasks:
- Manage calendars, schedule appointments, and coordinate meetings.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Maintain office records and filing systems (both digital and physical).
- Handle incoming and outgoing mail and communications.
Office Management:
- Monitor and order office supplies, ensuring the workplace is stocked and organized.
- Oversee maintenance of office equipment and liaise with service providers as needed.
- Ensure compliance with office policies and procedures.
Accounting Support:
- Assist with processing invoices, receipts, and payments.
- Maintain accurate financial records and support bookkeeping activities.
- Track and record cash transactions and assist with reconciliations.
- Prepare basic financial reports, summaries, and expense sheets.
- Support payroll preparation and filing of tax documents, if applicable.
- Coordinate with the accounting team to ensure compliance with financial policies.
Visa and Work Permit Coordination:
- Handle all aspects of UAE visa applications, renewals, and cancellations for employees.
- Coordinate work permit applications and ensure compliance with UAE labor laws.
- Liaise with government authorities (e.g., MOHRE, GDRFA) and external PROs as needed.
- Maintain accurate records of employee visa and permit statuses, ensuring timely renewals.
- Provide updates and advice on changes in UAE labor regulations and immigration laws.
Clerical Duties:
- Prepare meeting agendas and take minutes.
- Organize and maintain accurate records, databases, and filing systems.
- Perform data entry and update financial and administrative information.
Additional Responsibilities:
- Greet and assist visitors, clients, and staff professionally.
- Answer and direct phone calls, taking messages as needed.
- Assist with event planning and coordination.
- Support special projects and other duties as assigned.
Requirements:
- High school diploma or equivalent; associate’s degree or certification in office administration or accounting is preferred.
- Proven experience as a secretary, administrative assistant, or similar role with accounting responsibilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and basic accounting software (e.g., QuickBooks, Xero, ZohoBooks).
- Basic knowledge of accounting principles and practices.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- High level of discretion and confidentiality.
- Attention to detail and problem-solving skills.

Salary:
AED
6,000 to 8,000
per month inclusive of fixed allowances.
