Administration & Operations Executive

Job description / Role

Administration
• Liaise with PRO office for renewal of trade license, sponsorship, ejari, regulatory permits
• Management of administrative relationship with landlord’s office including obtaining NOCs, documents, etc
• Coordinate with Technical Operations team for renewals of contracts, regulatory permits and all other technical operations related matters
• Procurement of general and speciality items– locally and overseas including product research, seeking quotations, co-ordination with suppliers, issuance of LPOs, review of invoices and payments to be made. Active management to achieve operational efficiency in co-ordination with relevant team members.

• Liaise with corporate customers for administrative tasks including sending quotations and invoices, and following up for payment
• Liaise with external IT services provider
• General office management and administrative support to Directors
• Review and payment of general bills including Etisalat and DEWA in co-ordination with operations
• Petty Cash & Prepaid Debit Card Management
• Co-ordination with Accounts for all finance related transactions
• Documents control – physical and digital for entire organization
• Co-ordinate with drivers for required pickups and deliveries of documents, invoices, cheques, attestations

HR /Admin
• Liaise with ACT for all MOHRE, Immigration, Employee related matters including Labour Permits, Visa
• Government department interaction related to employees including attestation of certificates at MOFA, direct inquiries with MOHRE, applications at Tasheel & Amer typing centres
• Insurance management for staff – health insurance and Group Personal Accident Policies
• Payroll including WPS management & benefits disbursal
• Issuance of salary certificates, letters to bank as per approved templates
• HR Document Control

Operations
• Answering incoming calls, incoming emails and directing to relevant departments
• General operations co-ordination and support
• Attending to customer escalations
• Working with other colleagues, proactively contribute to the success of any special events and programs designed

Requirements

Education & Other Requirements:
• College degree is preferred
• Strong backgrounds in Administration
• Excellent communication and time management skills
• Excellent knowledge of Word, Excel, Powerpoint
• Relevant UAE Experience
• High IQ
