Job description / Role
Working within the professional services sector, you will be an exceptionally people centric Administration & Operations Manager who leads by example and possess high levels of EQ. Team management is the core function of this role and you will oversee both the administrative and facilities functions on a daily basis. Managing a very busy team and ensuring the workflow and project deadlines are managed effectively, you will fully support the senior team to meet tight client deadlines and engage the administration support team to produce high quality work, whilst fostering an environment of continuous improvement.
Ensuring all office facilities are safely maintained and that the interior environment showcases the exceptionally high standards of the organisation the Administration & Operations Manager will have a keen eye for the smallest of details. You will be a very organised individual, able to manage multiple projects, deadlines, and conflicting priorities at once. This is a very fast paced environment within the DIFC and the organisation continues to achieve success. Therefore, you will take the lead with an expected office expansion and oversee all interiors, contractors, regulatory requirements and health and safety aspects.
Liaising with all the operational teams you will also be involved in budget management with finance and report regularly into the COO and additional senior team members with project and workflow updates, business strategies, resources, resolutions to any issues and general business management. You will provide up to the minute reports via excel, PowerPoint presentations, internal and external communication and often go above and beyond expectations in order to be exceptionally forward thinking and anticipate the needs of the business and any potential issues before they arise. You will also support the COO with relevant research, commercial and competitor awareness and industry insights, hence the reason why professional services industry experience is required.
Requirements:
This role is both hands on and strategic to ensure complete business continuity, minimal risk in all areas, planned resources are in place and each project is within the budget constraints. Managing highly confidential information and interacting with all levels of seniority (including those at a C-suite level), no task should be too menial or large and you will possess excellent relationship and communication skills to understand all aspects of the business and provide proactive solutions. The team here is exceptionally focused and hardworking and all have the ability to multitask with exemplary time management, and this role will be no exception.
Strong inter-personal skills and the ability to motivate a busy team, it is expected that you will be highly approachable and solutions driven. No day is the same here and you should have high energy levels and clear and precise communication skills. Those who are multilingual in English and Arabic from a global management consultancy or financial services organisation, are high on the desirable list for this challenging and rewarding role.
