Job description / Role
Managing all aspects of the office alongside a team of 5 Administrators you will take control of emails, diary management, travel, and meeting room bookings to ensure smooth daily operations for the complete team of 20 in Dubai. This is a Team EA role where no day will be the same. You will provide support to a team of Directors and the CEO in a well-established investment firm based in the DIFC. Working with a great deal of motivation and confidentiality, this new role is required due to a continued increase in business for this busy and dedicated team.
Meetings will be across multiple time zones and the preparation of excel reports and PowerPoint presentations will be part of your daily duties. The team also collates and prepares for Board and Senior Leadership meetings including ensuring all logistics, highly confidential documents and facilities are managed. Updating information onto the internal CRM and keeping everyone on schedule, there will also be some basic HR administration. This will include the upkeep of annual leave and maintaining the HR master file copy with all the relevant information.
Often HNWI VIP clients and senior Board members will come to the office unannounced, and so this position requires candidates who are highly team orientated and eager to take on any task required including the covering of reception duties, coordination of office and pantry supplies and managing any maintenance issues when the need arises. The team really pulls together to ensure all aspects of the office and workflow is managed effectively. Therefore, excellent communication skills, a motivated approach and exceptional attention to detail is required at all times.
Requirements:

You should have Arabic fluency and at least 2-3 years of experience as an EA within a very busy financial or professional services team.
