Job description / Role

Employment: Full Time

• Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of the clients.
• Aggressively gather information on each project to achieve quality event productions.
• Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
• Create and revised room layouts for each event.
• Propose new ideas to improve the event planning and implementation process.
• Serve as liaison with vendors on event-related matters.
• Assist with managing on-site production and clean-up for events as necessary.
• Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
• Close out all events as required.
• Keep track of event finances including check requests, invoicing, and reporting.
• Coordinate appointments and visits to see our space, and scheduling of events on the calendar.
• Prepare and modify event contracts as requested
• Provide administrative support to Senior Sales and Marketing Manager
• Internal Event coordination: to ensure constant, transparent, accurate and positive communication within the event team (involved sales, F&B, purchasing, Front Office and any other parties).
• External Event Coordination: to ensure constant and accurate communication and coordination with suppliers and other external parties involved in event logistics.
• Client relations: to ensure the regular, professional, accurate communication with clients
• Event logistics: to ensure the proper scope of necessary services offered to the clients.

Requirements

Essential: Higher Secondary School and minimum 2 years’ experience as Sales or Events or of similar role in a 5 star hotel. Excellent written and verbal English communication skills and strong interpersonal and negotiations skills are essentials.

Desirable: Diploma or Certificate in Restaurant or Hospitality Management, and 2 years of experience in similar role in a 5 star hotel. Ability to speak other languages such as French and Arabic is an advantage.

You will work well under pressure in a fast paced environment and be a great team player, portraying a structured and goal oriented work philosophy and possessing following additional competencies:
