Assistant Manager - Integrated Facility Services

Job Purpose:

Solutions support with a main focus on end to end project governance ensuring performance targets are aligned to the IFS strategic objectives and that projects adhere to best practice and agreed project management methodologies and principles

Requirements

Job Responsibilities / Accountabilities:

Solutions
• Act as the bridge between the sales process and the operations function, embed the solution during the mobilization period
• Ensure that the terms in which a contract was bid is upheld and all key commercial assumptions are maintained
• Share a revised financial summary with senior management along with the as sold financial summary, providing a detailed report explaining the variance in cost, net profit and gross contribution.

Resource Project Management
• Drive and control the overall management of IFS manpower planning, scheduling and forecasting cycle by acting as the central clearing point
• Proactively manage resource utilization, oversee recruitment, staff boarding and training processes from start to finish
• Circulate high level supply & demand tracker and recruitment status reports providing senior management with the understanding needed to make operational decisions

Project Management Governance
• Govern and control each IFS mobilization, assign contract specific mobilization plan to project manager and ensure progress is tracked and reported as per IFS standards
• Responsible for kicking off the project and placing the initial recruitment requests ensuring a full handover from the sales team to mobilization team is given
• Establish a working mobilization committee for each IFS mobilization, set weekly mobilization meetings with representatives from all key support service departments to discuss progress and risks surrounding the mobilization
• Monitor end to end compliance with policies and standards

Project Tracking and Monitoring
• Responsible for monitoring, reporting and escalating issues with all projects within IFS, inclusive of contract mobilizations demobilizations and any ad hoc requirements to existing contracts
• Mange project risk effectively by identifying, analyzing and applying necessary corrective action to minimize the risks
• Maintain and share a weekly IFS Mobilization report along with a comprehensive CCM register to senior management providing a full overview of mobilizing contracts and the areas of concern around each
• Oversee Project Managers for the delivery of projects on time, within scope, cost and quality
• Manage and monitor the budget to ensure that the project is delivered within agreed costings
• Record, track and manage all account led business opportunities in Salesforce, respond and report real data ensuring accurate inputs are shared with senior management in the monthly pipeline meeting

Project auditing
• Conduct regular audits to monitor compliance with polices and standards ensuring each project follows the correct methodology/framework and has the correct supporting documentation to do so
• Ensure accurate and valid data are entered into the IFS Contract database, notifying Contract Managers on upcoming renewals and act as POC between Commercial and Legal team on any revenue at risk

Policies, Processes and Procedures
• Work in partnership with key stakeholders such as HR, Recruitment, COE, Commercial, Procurement, P&L, Admin to ensure the correct policies and procedures are in place and maintained to support the
