What this job involves:
The Assistant Workspace Operations Manager will deliver Workspace Operations operational activities in accounting, finance, maintenance, operations, vendor oversight, purchasing of material, equipment and supplies, occupancy services, incident management response & communication and helpdesk. These responsibilities will include site budgets, accounting and finance, sustainability and data initiatives, maintenance planning and operations, contract services, occupancy support services, customer/guest experience and helpdesk (CAFM) management.
As a lead of both JLL colleague and vendor teams, the Assistant Workspace Operations Manager will additionally be monitoring, tracking and reporting on the performance of tasks assigned in markets. Communicating successes and challenges frequently to ensure a connect between the leadership teams based in Dubai and the outer GCC Markets.
What your day-to-day will look like:
People Management
- Help manage and vendor coach teams.
- Developing and sustain a high-quality well motivated team.
- Ensure high staff morale, trust and work ethics.
- Develop an environment that supports teamwork, co-operation and performance excellence within team
Client/Stakeholder Management
- Deliver excellent customer service to meet on-site client's expectations.
- Build and develop effective relationships with key stakeholders &/or client and be comfortable working across all levels.
- Monitor procedures to ensure client's expectations are conveyed and worked upon
Procurement & Vendor Management
- Support vendors including hard and soft skills to deliver services on time and within budget.
- Support vendor procurement processes in accordance with agreed client procurement guidelines as well as Jones Lang LaSalle procurement best practices
- Chair vender monthly KPI meetings and fall out actions.
- Champion experience, FM , data insights and sustainability for JLL FM
Contracts Management
- Ensure that all contracts are professionally delivered at the right cost and in line with the JLL Code of Ethics
- Monitoring expiry of contracts and initiate re-procurement if needed.
- Continually assess contracts to ensure best value delivered to the client.
Finance Management / Cost Control / Profitability
- Assist in ensuring that the site's financial operations are meeting targets and control requirements.
- Monitor financial processes to ensure account payable procedures are always followed.
- Responsible for all EMEA operational financial processes, raising PO's and invoicing.
- Ensure prompt and accurate management of purchase orders in the financial management platform (JDE).
Health & Safety Management
- Implement and manage safety procedures to ensure the provision of a safe working environment.
- Ensure compliance with statutory regulations on fire, health and safety standards.
- Act as ambassador for the JLL SAFER initiative
Site Operations Management
- Implement Industry Best Practice operations.
- Support the WE&O Leadership team in the delivery of WE&O contract
- Assist and monitor to ensure all building procedures and performance measures are always maintained.
- Ensure all Critical Environment (CEM) requirements are met.
- Seek ways to reduce costs and improve operational standards.
- 24/7 emergency call support and site attendance may be required.
- Conduct site inspections, assessments, regular audits and carry out safety procedures as well as all building procedures and performance measures.
Risk Management
- Implement and manage a property risk management program.
- Implement and monitor disaster recovering and business continuity plans.
- Follow established escalation procedures and incident reporting procedures.
- Adhere to Jones Lang LaSalle's business conduct by ensuring compliance with the firm's guidelines, procedures and strategies.
