Job description / Role
Our client is seeking an experienced and dynamic clinic / administration manager
To lead the operations of their new outpatient center. This role involves leading a facility undergoing transformation, combining start-up agility with the stability of an established institution. The ideal candidate should be adept at driving operational excellence in a growing organization, with experience in healthcare systems development and process optimization.
Key Responsibilities:
- Clinic Setup & Launch
Oversee the entire setup of the clinic, including infrastructure, medical equipment, and technology integration.
Ensure regulatory compliance for all licenses, certifications, and safety standards.
Coordinate with contractors, vendors, and suppliers to ensure timely delivery and installation of necessary items. - Operations Management
Manage day-to-day clinic operations, ensuring smooth functioning of administrative, medical, and support staff.
Monitor patient flow, appointments, and the patient experience to maintain high standards of service.
Handle facility maintenance, including cleanliness, safety protocols, and addressing any immediate operational issues. - Staff Coordination & HR Management
Oversee the recruitment, training, and scheduling of administrative and support staff.
Manage staff performance, providing regular feedback and ensuring effective communication across all departments.
Foster a positive, collaborative work culture, ensuring staff well-being and motivation. - Financial Oversight & Budgeting
Monitor the clinic's budget for administrative and operational expenses.
Oversee the billing process, ensuring timely invoicing, payments, and collections.
Coordinate with accounting and finance teams to track financial performance and ensure cost-efficiency. - Policy & Process Development
Develop and implement Standard Operating Procedures (SOPs) for all clinic operations, ensuring consistency and compliance.
Continuously evaluate and improve administrative processes to optimize clinic performance.
Maintain accurate and up-to-date patient records, ensuring compliance with data protection regulations. - Technology & Systems Management
Manage the clinic's software systems for patient scheduling, billing, and medical record keeping.
Ensure IT systems are functioning properly and are secure, coordinating with external vendors as needed. - Crisis & Risk Management
Identify potential operational risks and develop mitigation plans.
Address emergency situations, ensuring quick resolutions to operational disruptions.
Education:
- Master's degree in Management, Healthcare Administration, or a related field.
- Minimum of 7 years in healthcare operations management, with experience in setting up and managing medical facilities. Additional certifications in healthcare management (e.g., Lean Six Sigma, PMP) are an advantage.
- Strong understanding of healthcare operations, biomedical equipment, facility management, and safety protocols.
- Prior experience working in corporate healthcare services within the UAE is preferred.
- Excellent communication and interpersonal skills.
- Strong analytical and problem-solving abilities, with a focus on data-driven decision-making.
- A valid UAE driving license will be highly desirable.
