Job description / Role

Employment: Full Time

• Responsible for ensuring proper documents are generated and all the data is accurate, collected and registered in system.
• Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and correspondence related to HOAM.
• Input document data into the standard registers ensuring that the information is accurate and up to date.
• Generate the various document control reports as required.
• Maintain updated records of all approved documents and drawings and their distribution clearly.
• Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
• Maintain the files and control logs as required by the management.
• Maintain the Management information systems.
• Perform document control & Quality management activities.
• Maintain procedures for maintaining documents and change control of documents.
• Reporting on the performance of the document control system for review and as a basis for improvement of the documents control system.
• Complies and maintain control records to verify completeness and accuracy of data.
• Posts changes to computerized or manual control records and maintains related files.
• Describing and creating the Acknowledge letters for the clients through Document Control.
• Tracking the pending documents through weekly progress reports.
• Prepare presentations, weekly and monthly report.
• Prepare minutes of meeting with client and service providers.
• Ensuring timely document delivery and tracking.
• Provide document control services to all departments.
• Updating and maintenance of the document control data base by monitoring all incoming/outgoing documentation and entering and management of document data.
• Ensuring all documents are easily accessible at all time both hard and soft copy.
• Archive all data, including hard and soft copies as required.
• Monitor and continuously improve the effectiveness of data management procedure and process according to the objectives.
• Provide reports on the performance of the document management system.
• Ensuring all document control procedures to be adhered to.
• Perform any additional duties requested by direct Manager.

Requirements:

• Bachelors degree in any discipline.
• 2 - 3 years of professional experience.
• Excellent command of written and oral English. Arabic is an advantage.
• Proficient computer and internet skills.
• Data organization and storage knowledge.
• Proficient typing skills.
