Job description / Role

Employment: Full Time

Responsibilities:
• Maintain reception and meeting room areas to a presentable and tidy standard
• Meet, greet and track all visitors to the office, assisting with their enquiries/requirements and accommodating them within the office as appropriate with adequate resources/support
• Manage all incoming telephone calls appropriately, directing callers, assisting with enquiries and message taking as appropriate in a warm, confident and happy manner
• Manage bookings and set up meeting rooms and coordinate the administration and facilities of all technical or other related equipment in meeting room in liaison with relevant internal suppliers i.e. IT (video conferencing/conference calls etc)
• Manage and coordinate the booking and logistics of catering
• Manage transport bookings for clients and guests as requested
• Manage all mail passing through the Dubai Office
• Direct maintenance requests.
• Maintain stock control of all kitchen items/pantries
• In association with IT, maintain records and manage the access card process
• Handle and monitor petty cash, liaising with Finance for replenishment
• Order all business card requests for staff
• Perform general office duties/office support such as faxing, update of email distribution lists, as well as other office related projects/tasks.
• Assist with duties during periods of absence of Office Clerk and Office Attendants
• Assist with coordination of office events

Requirements

The candidate we are looking for will have:
• Fluent, business level, written and spoken English communication skills
• A professional services employment background in a finance, legal or business support environment
• Excellent multitasking and organizational skills
• A hardworking attitude, attention to detail and demonstrated ability to work efficiently under pressure
• Professional demeanor with experience in a multinational environment
• Displays service oriented mentality and responds to customer's needs with a sense of urgency
• Adheres to the corporate dress code at all times
• Consistent, dependable and accurate in carrying out responsibilities
• Ability to anticipate, identify, and solve problems
• Flexible and adaptable to change
• Works cooperatively with colleagues, displaying a high level of motivation and enthusiasm for tasks
• Handles situations with poise, understanding and tact
• Displays high standards of professional behavior and ethical standards
• Ability to perform receptionist tasks at an exceptional level
• Good knowledge of MS Office
• Familiarity with technical support/office equipment (mobile phones, video conference equipment, copier, scanner, fax, etc.)
