Dealer Audit Objective

The primary objective of Dealer Audit (DA) is to provide assurance to management that payments made to Importers/Distributors/dealers by the Company are in accordance with Company policies or specific program rules or objectives. Audits should be objective and recognize additional amounts owed to the Importer as well as amounts owed to the Company. Examples of variable marketing payments that should be subject to audit are retail sale support or incentives, fleet support, demonstrator programmes, and employee vehicles programmes.

Additionally DA is responsible for identifying process weaknesses primarily relating to the payment of variable marketing incentives, and for the timely reporting of issues identified and of follow-up actions taken by Marketing and Sales (M&S) in response to DA reports.

Audit Plan

The annual dealer audit plan is developed from a risk assessment, utilizing Computer Aided Audit Tools (CAAT), covering categories of spend, and also mix of fleet and retail sales. The risk assessment should be revisited at least every six months, to ensure alignment with current variable marketing volumes and market trends.

The duration of the audit will depend on the size of the Importer and what is to be audited, but generally will take approximately 2-3 weeks to complete.

Dealer Auditor

Responsible for the following:

• Maintaining a DA risk analysis for relevant markets
• Obtain regular input from M&S to support development of on-going audit plans
• Timely (monthly) submission of the DA reporting schedule and the DA travel plan to the Dealer Audit Supervisor
• Audit Announcement to the Importer/Distributor
• Notification of the audit to the MEA Regional Office
• Coordination and collection of audit reports and any related analytical reporting
• Organize personal travel (authorization and booking), and submit travel expense reports for approval on a timely basis
• Selection of claims for review during field action, utilizing CAAT functionality
• Review of the Importer agreement to ensure adherence to the Global Terms and Conditions
• Conduct the opening conference, where the Auditor will describe the purpose, scope and the audit process
• Review claims to assess compliance with respective policy
• Development and distribution of audit reports at the conclusion of each audit
• Point of contact for audit information
• Liaison with OGC for advice with respect to alleged fraud found during audits
• Report any non-compliance to M&S (finance and operating management) and work with them to develop and implement control points to prevent a re occurrence (unless non-compliance are deemed Unusual Events)
• Report any Unusual Events to the Regional Incident Coordinator
• Conduct in-dealership communication sessions as required
• Collate and finalize audit report including any required recharges
• Organize closing meeting with Dealer Principal / dealer management and other key stakeholders
• Achieve consensus on the accuracy of the audit findings and agreement to settle non-compliant claims and implement process changes
• Provide the dealer with the audit appeal process if required
• Update risk analysis template for relevant findings
• Create a formal audit report for each audit, including details of any charge backs and highlighting contributing control weaknesses and proposed control improvements
• Collate and file dealer audit report and all relevant field notes and supporting documentation (aligned with record retention requirements)
• Provide monthly recharge report to Dealer Audit Supervisor by third working day each month
• Confirm that waivers are approved in-line with the delegated authorities
• Participate in GAO processes (Organizational Review, PULSE improvement actions, etc.), and aligned with the GAO annual Budget, attend GAO offsite Regional Meetings
• Complete annual training plan

Salary:
AED 15,000 to 25,000 per month inclusive of fixed allowances.
