Job Overview:
We are seeking a meticulous and bilingual Document Controller fluent in English and Arabic to manage both digital and paper documents. The role involves setting up and maintaining document control systems, ensuring compliance with regulatory standards and company policies, and facilitating effective communication in both languages.
Key Responsibilities:
• Document Management: Establish and maintain effective systems for managing both digital and paper documents, ensuring efficient storage, retrieval, and archiving.
• Quality Assurance: Ensure the accuracy, quality, and integrity of all documents, confirming compliance with project standards and company policies. This includes translating and reviewing documents in both English and Arabic.
• Document Handling: Develop procedures for handling, filing, and tracking documents, both electronically and physically, to ensure easy access and traceability.
• Access Control: Manage and control document access, providing necessary documentation to internal and external stakeholders while maintaining confidentiality and security.
• Version Control: Implement and monitor a systematic approach to version control and revision tracking of documents, ensuring all versions are accurately updated and filed.
• Conversion and Digitization: Oversee the digitization of paper documents, converting them into electronic formats as required, and ensure they are properly indexed and stored.
• Document Review: Coordinate with departments to review, translate, and approve documents as needed, ensuring consistency across digital and paper formats.
• Training: Train staff on document control processes, including the use of digital tools and the handling of paper documents.
• Audits: Prepare for and assist in internal and external audits related to document control, providing necessary documentation and reports.
• System Maintenance: Maintain and update both digital document management systems and physical filing systems.
• Reporting: Generate reports on document control activities, including the status of digital and paper documents, for management review.
Requirements:
Qualifications:
• Education: Bachelor’s degree in [relevant field such as Business Administration, Information Management] or equivalent experience.
• Experience: Minimum 3-5 years of experience in document control, preferably within higher education, government sector.
Skills:
• Proficiency in document management systems (e.g., SharePoint, Documentum) and familiarity with physical filing systems.
• Strong organizational skills with keen attention to detail.
• Excellent written and verbal communication skills in both English and Arabic.
• Ability to manage both digital and paper documents effectively.
• Knowledge of regulatory standards and practices in document control.

Salary:
AED
10,000 to 12,000
per month inclusive of fixed allowances.
