Job Title: Document Officer
Employer: Al FAFA LLC-FZ for a group of Companies (Export & Import; Trade Services related to Chemical Raw Material)
Location: Dubai, UAE
Job Type: Full time
Salary Range: Flexible; Depends on Candidate Capability
Nationality Preference: Filipino (Female Candidate Preferred)
Age: 25-35 years old
Job Summary:
We are seeking a detail-oriented and proactive Document Officer with a strong background in logistics and stock management. The ideal candidate will be responsible for overseeing documentation processes, ensuring accuracy, and facilitating smooth coordination between departments. This role requires excellent organizational skills and the ability to manage both digital and physical records efficiently.
Key Responsibilities:
• Manage and control all logistics-related documentation, ensuring accuracy, completeness, and compliance with company policies.
• Maintain and update records related to inventory, stock movement, and shipment tracking.
• Verify and cross-check stock documents to ensure accurate stock levels and reporting.
• Coordinate with logistics, procurement, and warehouse teams to ensure proper document flow.
• Organize and maintain digital and physical records for easy retrieval and reference.
• Ensure timely submission and distribution of documentation to relevant stakeholders.
• Identify discrepancies in documents and take corrective actions as needed.
• Assist in preparing reports related to inventory, stock levels, and logistics compliance.
• Implement document control procedures to enhance efficiency and accuracy.
• Handle packing lists, invoices, quotations, delivery notes, and customs clearance documentation.
• Work with free zones and mainland documentation, customs clearance, transfer of ownership documents, and duty exemption paperwork. (Preferred, but willingness to learn quickly is required if lacking experience.)
• Perform other administrative and clerical tasks as assigned.
Requirements:
Qualifications & Requirements:
• Minimum 1-2 years of experience in document control, logistics, or stock management.
• Strong attention to detail and accuracy.
• Sharp and very fast learner with the ability to adapt quickly in a fast-paced environment.
• Excellent organizational and multitasking skills.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and document management systems.
• Strong communication and coordination skills to work effectively with different teams.
• Knowledge of inventory management processes is a plus.
• Experience in packing, invoicing, quotations, delivery notes, and customs clearance is required.
• Familiarity with free zones, mainland regulations, customs clearance documents, transfer of ownership, and duty exemption is preferred. If not, the candidate must be a very fast learner.
Salary:
AED
4,000 to 7,000
per month inclusive of fixed allowances.
