Job description / Role

Employment: Full Time

Provide a wide range of general administrative, specialized project-specific and strategic support to Leadership and Management Consultants as needed. The BSS will have an excellent understanding of core business support functions and provide support and strategic direction; specifically, within three specialization areas: Executive Assistants, RFP management and Practice
specific support.

Executive Assistants Management
• All processes and support will be carried out in accordance with best practices and in line with other offices in the region. The BSS is expected to maintain a working knowledge of the Firm and its industry and service practices, as well as other business units.
• Foster good relationships and constant communication to ensure a good understanding of requirements of the Leadership team; understanding the key areas on which they need to be supported and building ways in which the EA’s can consistently add value
• Professionally and effectively manage any escalations that might arise from the EA or Leadership team with the aim of immediately resolving any issues, set realistic expectations and implement preventative measures/introduce improvements where relevant
• Maintain strong communication with the EA and Leadership teams
• Assess EA strengths. Identify areas of development and develop training programs accordingly
• Utilize technology to implement more efficient processes

RFP Management
• Maintain a clear procedure of the full RFP process from receiving the RFP through to response and delivery ensuring timely and high-quality submissions
• Coordinate roles/scope clearly amongst all responsible parties (EA’s, Reception, Office Services)
• Maintain a database of all RFP’s submitted and any responses
• Ensure a clear and comprehensive data repository
• Reporting of RFP’s status and monthly summaries, using Teams folders and other software
• Work with other Office Services Teams to ensure content and physical delivery are well organized

Practice Specific Support
• Encourage and expand practice area exposure (internally and externally)
• Remain in regular and close communication with Practice Leaders and teams, identifying key stakeholders
• Understand and develop a minimum level of services/outputs for each Practice, aligning amongst them wherever possible
• Research and stay up to date with all practice-specific development (internal & external)
• Maintain a practice are Facebook, keeping in mind also alumni
• Plan and project events/training/talks/other calendar for all practices.
• Maintain a central repository for each Practice
• Liaise and align with other offices (regionally and globally)

Requirements

Skills
• Strong English skills, both oral and written.
• Arabic advantageous
• Exceptional administrative, organizational and multi-tasking skills
• Develop/deliver trainings where appropriate.
• Always looking to upskill self and teams
• Strong interpersonal skills, service-oriented and team player; display positive “can-do” attitude
• Handle sensitive information with high level of confidentiality and discretion.
• Strict adherence to confidentiality policies and protection of Firm and private property
• Flexible, interested in learning, able to grow with the role if/when appropriate
• Troubleshooting skills; ability to use good judgement to identify problems and provide appropriate solutions
• University Degree Educated
• Professional Services experience
• People Manager experience (at least 5 years)
