Job purpose
A first-of-its-kind training facility in Dubai, the Emirates Flight Training Academy (EFTA) is located in Dubai South, Dubai World Central (DWC). With its unique facilities and resources, Emirates Flight Training Academy offers the opportunity to learn to fly in the most advanced flight training academy in the world. Our fully operational flight operations centre is dedicated to Emirates Flight Training Academy cadets only, making flight training part of everyday life at the Academy. This means you will have the opportunity to gain a complete operational experience in one holistic environment.
An EFTA Operations Specialist will manage all operational aspects related to ground handling, fuelling, and overflight coordination between domestic and international airports, while overseeing the resolution of discrepancies and ensuring efficient operations. You will analyse and forecast fuel consumption, monitor contract renewals, and maintain continuous communication with both internal teams and external stakeholders. You will also ensure departmental activities are fully aligned with company policies and regulatory requirements, maintaining high operational standards and addressing any issues that may arise promptly.
You will have to:
- Manage end-to-end processes related to fuel projections. Forecast, store, and analyse fuel consumption data based on flying hours projections, monitor actual usage against forecasts, oversee reconciliations, and review historical data to project future needs and management recommendations.
- Report on flying activities and fuel-related discrepancies, liaise with suppliers to ensure smooth operations, and propose corrective measures for any discrepancies or issues identified during reconciliations.
- Proactively identify and review any unusual charges or discrepancies in invoices, taking immediate action to address and resolve any inconsistencies with suppliers or internal teams. Find solutions and prevent future occurrences. Ensure that invoice rates are consistently monitored and align with the terms outlined in the agreed contracts, ensuring accuracy in all billing processes.
- Plan and track training requirements for operations staff. Schedule and update training course records. Engage with safety, compliance, EK group security, EK engineering, or external training providers to fulfil the staff training requirement.
- Handle the process for reviewing and updating the Standard Ground Handling Agreement, Service Level Agreement, and Location Agreements as needed. Support the Manager Operations in drafting new contracts and track contract expirations to ensure timely renewals to avoid delays.
- Conduct a thorough assessment of current processes and workflows to identify inefficiencies and areas for enhancement. Recommend and implement strategies for streamlining operations.
- Support the Manager Operations during operational audits and engage with the team to collate all data related to root cause analysis, corrective actions, and preventive measures for identified issues. Create and execute a detailed plan to implement and finalize these actions, ensuring successful resolution and closure of the audit.
- Maintain all electronic and hardcopy records to ensure a proper audit trail. Generate and submit regular reports on operational data.
- Facilitate in the planning and execution of operational projects, ensuring timely completion within budget constraints. Monitor project progress to ensure adherence to established timelines. Propose detailed scopes of work in alignment with operational requirements and to support project objectives.
