Job description
- Assisting in maintenance requests from guests and hotel colleagues.
- Following up monthly on the water analysis reports of swimming pools, spa facilities, Jacuzzis, and water features from the maintenance company; checking if within the parameters, then uploading to the DM website.
- Assisting in the monitoring and maintaining of inventory.
- Handling day-to-day secretarial work including typing, filing, faxes, telephone, etc.
- Ensuring the distribution of documents, letters, faxes, memos, information, etc. on a timely basis.
- Arranging internal and external appointments.
- Accompanying the Director of Engineering to meetings and site tours as required to record minutes.
- Maintaining and filing all equipment operation log sheets.
- Ensuring that all equipment third-party certificates are valid and renewed prior to the expiry date.
- Ensuring all DM-related and DCD-related certificates are renewed prior to the expiry date and following up with concerned departments as required.
- Uploading all water sampling readings such as Legionella and third-party certificates to the DM site.
- Monitoring the planned preventive maintenance (PPM) schedule of all annual maintenance contracts; ensuring completion and following up with the concerned engineering leader or contractor/supplier if required.
- Organizing monthly communication meetings, keeping notes of the minutes, and following up for updates or action plans as required.
- Preparing CAPEX and asset disposal-related documents, filing, and follow-up as required.
- Monthly preparation of utility graphs to be submitted to the DOE.
- Monthly preparation of DRO utility reports and uploading them in the system without delay (GAIA).
- Monthly preparation of utilities reports and uploading them in the system without delay (Dubai Tourism Carbon Calculator).
- Assisting with daily operations by checking the RSM dashboard and informing the leader or technicians accordingly if there is a buildup in tickets or closing tickets at the end of the shift once work is completed; this is required when the daily shift supervisor is busy.
- Other tasks as assigned.

- Proficient in the use of Microsoft Office.
- Ability to work independently with good interpersonal skills.
- Good communication and interaction skills.
- Strong organizational skills to handle multiple assignments.
- Enthusiastic and dependable.
