Job description / Role

Employment: Full Time

The individual is responsible for coordinating and preparing for all PSUAD and Serco related events, including HSE and CSR events, out of office workshops and awards campaigns.

Assist with coordinating project work relating to the student residences, assist with student check in and check out process as well as provide administrative support where required.

Structure and reporting relationship:
Reporting directly to the Soft Service Manager, or the approved designated succession authority within the defined hierarchal structure.

Key accountabilities
• Support and coordinate all PSUAD internal and external events
• Develop Events Strategy for internal and external events
• Develop and maintain an events calendar
• Communicate events and additional event requirements to Serco team
• Ensure that event venue and locations are fully functional and available for use prior to events’ with no overlap of maintenance and cleaning activities,
• Coordinated any remedial works and cleaning requirements
• Coordinate with Security and Cleaning teams for any additional requirements and services
• Liaise with Sub-Contractors and vendors as required; manage all administration functions, which includes costing, approvals, purchase orders and invoicing relating to any additional requirements associated with events
• Maintain accurate records and provide reports as and where required
• Before special and major events, a full combined PSUAD and Serco Condition Survey will be completed, detailing any existing issues or defects. A post event survey will be completed and a damage report will be compiled.
• All damage reported will be priced up and submitted to PSUAD for reimbursement.
• Develop lessonslearnt log to reference to for future event
• Assist with the coordination and organisationof all staff events and awards
• Maintain regular communications with the management team
• Assist HSE and CSR committee with organization of any special events
• Assist with students bi-annual room check in and check out
• Assist with developing the annual residence refurbishment and life cycle plan
• Coordinate and monitor annual refurbishment work progress in the student Residences
• Assist with ad-hoc administration functions as and when required
• Perform and carry out other duties as instructed/directed by line manager

Requirements

• Strong communication skills, good written and spoken English language skills (French an advantage)
• Assertive and ideas are drivenindividual with proactive approach to work
• Good attention to detail and ability to multitask;
• Good relationship building skills
• Ability to see problems as opportunities and to manage well under pressure;
• Good judgment and decision-making skills;
• Strong organisational skills, and the ability to handle multiple priorities and deliver on promises to deadline
• An assertive completer finisher with high-level personal presence and credibility.
• Experience working with cross-functional teams and getting groups with different agendas to collaborate on a common goal.
