Job description / Role

Employment: Full Time

• To ensure client’s satisfaction during and after the function in order to gain support for future business activities.
• Monitors all tentative, definite and on hold events.
• Build effective strategies, record progress, make suggestions and create special promotions
• self-motivation and the ability to work unsupervised using own initiatives
• Develop banquet menus pricing and revenue minimums using current competitive data.
• Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of the clients.
• Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
• Create and revised room layouts for each event.
• Propose new ideas to improve the event planning and implementation process.
• Serve as liaison with vendors on event-related matters.
• Assist with managing on-site production and clean-up for events as necessary.
• Close out all events as required.
• Keep track of event finances including check requests, invoicing, and reporting.
• Coordinate appointments and visits to see our space, and scheduling of events on the calendar.
• Prepare and modify event contracts as requested
• Provide administrative support to Group Events Manager
• Internal Event coordination: to ensure constant, transparent, accurate and positive communication within the event team (involved sales, F&B, purchasing, Front Office and any other parties).
• External Event Coordination: to ensure constant and accurate communication and coordination with suppliers and other external parties involved in event logistics.
• Client relations: to ensure the regular, professional, accurate communication with clients
• Event logistics: to ensure the proper scope of necessary services offered to the clients.

Requirements

• Should have or well familiar with the UAE market in general and Abu Dhabi market in specific.
• English proficiency is a must. Arabic would be highly desirable.
• Highly organized and excellent communication skills.
• Should have excellent interpersonal skills
• Goal oriented, result driven and with excellent organizational and planning skills
