Job description / Role

Employment: Full Time

• Target & Secure the dates and venue for the events
• Target numbers of delegates
• Sponsorship strategy where relevant to budget
• Event plan with timelines
• Liaise with marketing team and designers to create a brand or look for the events
• Integrate and maintain the corporate brand throughout repeat events
• Work with the marketing team to promote the event to the target audience, sponsors and exhibitors while making arrangements for all necessary advertisements and materials
• Engage in sales meetings and/or produce comprehensive selling proposals for new and prospective clients & sponsors
• Manage existing clients/sponsors relationships to maximize opportunities for repeat sponsorship business
• Use of social media where relevant
• Arrange for the hotel rooms best corporate rates for the team & guests/ ballrooms/menus /stage display & conference room set, and all other audio/ visual requirements etc
• Make arrangements with speakers, VIPs and guests for their travel, hotel accommodation, biographies and presentations.
• Arrange the printing of the event program, brochures, posters, badges, place cards, banners.
• Prepare delegate packs with the team
• Arrange and Manage the event hostesses/ MC/ Singers/Musicians
• Record/report notes and minutes of all meetings
• Monitor reports regularly and share with the CEO
• Prepare, Manage and Update the delegates attendees list
• Organize efficient and effective registration of delegates
• Ensure that the event runs smoothly and venue is cleared on time
• Report to CEO as soon as possible after the event of delegate’s satisfaction, exact delegates attendees etc.

Requirements

The Candidate must have 1 to 2 years of work experience as an Event Executive. She must be organized, must have the ability to work under pressure and must be focused on the job. She must have excellent verbal and written communications skills.
