Job Summary:
The Sports Event Operations Manager is responsible for planning, coordinating, and executing all operational aspects of sports events, ensuring they run smoothly and efficiently. This role involves managing logistics, coordinating with vendors, overseeing event staff, and ensuring compliance with safety and regulatory standards. The ideal candidate will have a strong background in event management, with a focus on sports, and a proven ability to manage complex, large-scale events.
Key Responsibilities:
Event Planning & Coordination:
• Develop and implement detailed operational plans for sports events, including timelines, budgets, and resource allocation.
• Coordinate with event stakeholders, including sports teams, sponsors, vendors, and venue management, to ensure all aspects of the event are aligned with objectives.
• Oversee the setup, execution, and breakdown of event infrastructure, including seating, signage, lighting, and audiovisual systems.
Logistics Management:
• Manage all logistical aspects of sports events, including transportation, accommodation, equipment, and catering.
• Ensure timely delivery and setup of all event-related materials and services.
• Coordinate with security teams to develop and implement security plans, ensuring the safety of all participants and attendees.
Team Leadership & Staff Management:
• Recruit, train, and manage event staff, volunteers, and contractors, ensuring they are well-prepared to perform their duties.
• Assign tasks and responsibilities to team members, providing clear instructions and support as needed.
• Monitor staff performance during events and provide feedback to ensure high-quality service delivery.
Budgeting & Financial Management:
• Develop and manage event budgets, ensuring all expenses are tracked and within allocated funds.
• Negotiate contracts with vendors and suppliers to secure favorable terms and cost-effective solutions.
• Monitor and report on financial performance, providing regular updates to senior management.
Compliance & Risk Management:
• Ensure all events comply with relevant laws, regulations, and industry standards, including health and safety, accessibility, and environmental regulations.
• Develop and implement risk management plans, including contingency plans for adverse weather, emergencies, or other unforeseen events.
• Liaise with legal teams to secure necessary permits and licenses for events.
Stakeholder & Client Relations:
• Act as the primary point of contact for clients, sponsors, and other key stakeholders, ensuring their needs and expectations are met.
• Provide regular updates to stakeholders on event progress and address any issues or concerns promptly.
• Conduct post-event evaluations to gather feedback and identify areas for improvement.
On-Site Event Management:
• Oversee the execution of events on the day(s) of, ensuring all operational elements are in place and functioning smoothly.
• Troubleshoot any issues that arise during the event, making quick and effective decisions to maintain event quality and attendee satisfaction.
• Coordinate with media and public relations teams to manage press coverage and event promotion.
Reporting & Documentation:
• Maintain detailed records of event operations, including budgets, contracts, schedules, and reports.
• Prepare post-event reports, including financial summaries, attendee feedback, and recommendations for future events.
• Document and archive all event materials and media for future reference.
Requirements:
• Bachelor’s degree in Event Management, Sports Management, Business Administration, or a related field.
• 6+ years of experience in event operations, with a focus on sports events preferred.
• Proven track record of managing large-scale events, including logistics, staff, and budget management.
• Strong knowledge of sports event regulations, safety standards, and industry best practices.
• Excellent organizational, problem-solving, and decision-making skills.
• Strong communication and interpersonal skills, with the ability to work with diverse teams and stakeholders.
• Proficiency in event management software and Microsoft Office Suite.
• Ability to work long hours, including weekends and holidays, as required by event schedules.
• Valid driver’s license and ability to travel as needed.
Preferred Qualifications:
• Experience in international sports events or multi-sport competitions.
• Certification in Event Management or a related field.
• Multilingual skills.
Salary:
AED
12,000 to 18,000
per month inclusive of fixed allowances.
