Employment: Full Time

Events Site Manager - contractual - rugby 7s - starting October

Purpose: To manage the site build of the F&B outlets at the European Tour: The Race to Dubai, the Emirates Airline Dubai Sevens Stadium and any other events as required. Liaising with the Promo7s Site Manager, The Sevens Stadium Management, sub-contractors and key stake holders. Co-ordinate all aspects of the works so that the site build is completed in line with the requirements, within budget and on time.

Have a commercial understanding of the event build, advising and implementing cost savings at all times, and represent the company in a professional and proactive manner in all dealings with those associated with the event build.

While site build is underway the Site Manager will monitor progress, oversee delivery of build and solve any problems which could hold up work as they arise. You will also keep in close contact with members of the site team at all times, and liaise with all stakeholders coming onto site. He or she will ensure that any work by sub-contractors complies with legal requirements. The Site Manager will report daily to the Event Manager on the site build, to ensure any issues are tackled in a timely and efficient manner.

Planning
- Work closely with the Events Management Team to understand the full build schedule and update on progress of the site.
- Work with the Events Manager and the Promo7 team on the site layout to find the best use of the space available.
- Assess site structures and plan necessary repairs – manage the materials and tools required for the site build.
- Produce a labour schedule for logistics team in conjunction with Event Planning Manager to ensure project is kept on track as per deadlines.
- Assess all company equipement in the warehouse with the Maintenance team. Complete a full stock-take and submit to the Events Manager.
- Work with the Culinary Team to ensure all kitchen layouts are completed and equipment is either in the warehouse or can be ordered from a supplier.
- Compile all site power and water requirements for both events, with the assistance of the Resource & Admin Assistant – must include all sub-contractors.
- Organise site visits with key contractors and update Events Planning Manager as to any changes in the proposed schedule.
- Manage all required H&S documentation for key contractors, file on system and share with Promo7

Site Operations
- Maintain the schedule and track progress, keeping records on file and copying weekly records to line manager.
- Manage the time and workload of the Logistics Crew to ensure best use of resources
- Keep accurate records of all orders and deliveries to site – submit all delivery notes to the Resource & Admin Assistant on a weekly basis.
- Attend all Site Meetings with the Event Organisers (Promo7) and the Stadium Management (The Sevens) – report any issues back to the Event Manager immediately.
- Maintain accurate and up to date records for site attendance, site induction, accidents, and goods received onsite.
- Manage all installations, power/water connections and ensure the site is operational at least 2 days prior to the event
- Manage and implement the buggy allocations, ensuring safe driving, and radio allocations for all team members.
- Communicate effectively at all times with the Event Management Team, Sub Contractors, Promo7 and Sevens Stadium Management representing ELR with professionalism, integrity and honesty.

Health, Safety and Security
- Take the lead on ensuring safe use of all vehicles on site, ensuring all users adhere to the site safety policies and educate all contractors and sub-contractors on policies and safe working practices.
- Provide first aid facilities, ensuring there is a first aid area and first aid stocks.
- Ensure safety to public, site visitors and staff on site at all times, ensuring that preventative measures are taken, including personal protection, following safety instructions and following all aspects of the health and safety proposal for the site.
- Maintain security of completed works, perimeter barriers, stored materials at all times during the project.

Ongoing Management
- Supervise and manage all site based operatives, overseeing all aspects of their work, to include but not limited to the quality of work and cleanliness & tidiness; the use of company assets, use of personal protection equipment/wear.
- Check that all materials used, including those used by sub-contractors, are compliant with technical and quality specifications eg gas installation
- Keep photographic survey of all site operations and works and forward to the office via line manager if required.
- Maintain and track deliveries, ensure that stock and materials are deployed properly, off load/check all deliveries to relevant storage facilities, and manage stock issue, adhering at all times to operational needs.

Requirements

- Substantial experience of the full life cycle of events, involving the supervision of the site management and the staff working on it.
- Analytical skills to be able to understand and interpret complex technical specifications, drawings and documents and formulate plans from them.
- Written communication to be able to write reports and complete any necessary paperwork/administration
- Numeracy skills, to enable scaling of drawings, checking measurements/angles and doing calculations.
- Verbal communication skills to enable effective communication all levels, and able to develop good relationships with internal and external stakeholders.
