Job description / Role

Employment: Full Time

The ‘Executive - Administration Services’, reporting to Assistant Manager, Administration Services, and as part of the Administration Team in the Administration and Procurement Department, will be responsible for providing administrative support to the organization.

KEY ACCOUNTABILITIES:
- Assists customers (employees) with all queries related to administration services
- Assists in the certification process of supplier invoices
- Coordinates with travel agencies to issue tickets and manages the complete Travel desk
- Coordinates with catering companies / restaurants for catering arrangements for trainings
- Coordinates distribution of centralized purchased items to all departments
- Assists the team with activities such as Insurance management, vehicle and car parking administration, telecom services administration, supervision and distribution of office and pantry supplies
- Prepares, maintains and distributes various reports for the team and management
- Carries out general office administration duties and store visits
- Prepares the documentation related to trade license renewals and supports the PRO
- Assists the team with visa, Emirates ID and medical insurance renewals of Family domestic staff
- Assists the department senior leadership team in all administration / office management activities
- Coordinates with the Office Support team and supervises cleaning and maintenance of pantries and washrooms-
- Helps develop and implement administration improvement surveys
- Assists with medical insurance claim management

Requirements

University Degree
- 3 years of related experience
