Job description / Role

Employment: Full Time

Swiss Rock DMCC is looking for an Executive Administrative Assistant to the CEO. Due to this role, we are looking for someone experienced with a bachelor or – preferably – a master degree, whose mother tongue is English (or ideally bilingual), can handle work autonomously, is self-motivated and has the ability and willingness to take great responsibilities beyond the given parameters.

The main responsibilities include:
• Development, expansion and administration of the customer database;
• Development of corporate strategies for the development of single diamonds;
• Processing of orders;
• Interactive customer correspondence worldwide;
• Creating reports including financial updates and informing the management and shareholders on a daily or weekly base;
• Creating monthly inventory lists;
• Handling of the in- and outgoing shipments, including the processing of customs, transportation and the bank-handlings;
• Representation of the management in the main office (Almas Towers) (administration and communication);
• Highly responsible and important handling of the banking and accounting administration;
• Calendar management with the required logistics for shipments;
• Establishment of team documents and official firm forms;
• Admiration and/or delegation of all the travel and visa regulations to ensure impeccable business travels of the company;
• Highly accurate and timely submissions of the company expenses;
• Leading role of special, individual upcoming projects;
• Maintenance of all the incoming correspondence;
• Maintenance of the stocks;

Requirements

This is a role with a lot of responsibility – the right candidate must have a strong administrative background. Our clients, partners and tasks offer you an exciting but also challenging in an esteemed work environment.
• Strong experience as an administrative assistant to top management;
• B2B-environment experience;
• Excellent communication skills;
• Business English (mother tongue or bilingual), second language is an advantage
• Computer proficiency in Microsoft Office, including OneDrive business
