Job description / Role

Employment: Full Time

- Establish, maintain and drive best practices in all aspects of Office Management.
- Managing and arranging meetings, travel/ accommodation, organising conferences and events originating or answering correspondence, preparing presentation material, filing paperwork, conducting ad hoc internet searches, dealing with expenses, sending group/ individual emails.
- Helping maximise the effectiveness by reminding what actions have to be completed and making necessary appointments.
- Exercises a secretarial function in management meetings, by booking the venue, distributing papers and agendas, arranging catering, taking minutes, issuing minutes with agreed action points. Chasing management to ensure completion of agreed actions and coordinate with compliance department any additional requirements when necessary.
- Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans.
- Meeting organizer, Calendar management of senior executives, Document tracking, and Filing management.
- Preparing letters, reports, memos, presentations and organisational charts using appropriate MS applications with specific emphasis on preparing proposals and also PowerPoint presentations.
- Manage and support any delegations and business visitors related to the executive's functional responsibility.

Requirements

- Must have 10-15 years of experience in this role.
- Significant experience in a Senior Executive Assistant role.
- Handle multiple tasks simultaneously and autonomously.
- Work unsupervised once briefed, efficiently and effectively in a demanding environment.
- Detail oriented; possess executive presence, maturity and judgment and an ability to see the bigger picture
- Advanced skills in MS Office with emphasis on MS PowerPoint.
- Display high levels of initiative and self-motivation.
- Able to deal with highly confidential work, using diplomacy and tact.
- Able to meet deadlines and work under pressure.
- Ability to liaise and communicate effectively at all level.
- The Candidate should have worked with a large bank, or a similar role in a large conglomerate.
- The candidate must have a Bachelor in Commerce or Master in Commerce.
- Proficiency in MS Office with an emphasis on MS PowerPoint.
- Energetic, enthusiastic to work in a high paced environment
- Ability or connect to colleagues from varied background
- Good interpersonal skills.
- A calm, professional manner and the ability to work pro-actively are key in making a success of this role.
- Flexibility in working hours if the workload requires; very organised.
