Atkins is looking to recruit an experienced Executive Assistant who can provide professional and proactive support to the Global Resource SVP and MEA VP HR who has responsibility for the entire Middle East region of the business.

This vacancy represents a rare opportunity to join Atkins in a high profile role as a professional first point of contact internally and externally. Based in our office in JLT, the role will involve actively liaising with the senior management team across our professional consultancy business, so excellent interpersonal skills and strong organization skills are essential.

Role and Responsibilities
• Executive Assistant to Global Resources SVP HR and MEA VP HR
• Effectively manage diary and scheduling of meetings
• Coordinate and plan regional and international travel, accommodation and supporting visas
• Filter and prioritize incoming emails and general correspondence and responding or redirecting on behalf of the SVP/VP as necessary
• Screen phone calls, enquiries and requests, and handling them when suitable or directing to appropriate teams
• Complete and submit expense reports and review/follow up direct reports expense reports
• Ensure tracking/follow up of approval documents
• Support tracking of reports, briefing papers and presentations with the HR teams. Demonstrate excellent literacy proficiency.
• Successfully working with senior management and their EA’s and collaborating with colleagues from across the Group

Requirements

Technical Qualifications
• Minimum 5 years C-Suite level EA experience
• Trustworthy and most ensure absolute confidentiality
• Enhanced communication skills to reflect the organisation's values
• Excellent organisation and communication skills
• Ability to produce professional reports, briefing papers, documents and presentations
• Strong time management and ability to manage workload
• Good level of personal confidence and resilience
• Well-developed communication, negotiation / problem solving skills and ability to understand the needs of different stakeholders
• Confidence to proactively work unsupervised and using own initiative
• Excellent standard of proficiency in oral and written communication with strong attention to detail
• Sound understanding of the main components of Microsoft Office and other role related software packages
• Ability to form effective working relationships with colleagues and clients
• Working cooperatively and productively with others to achieve results.
