Job description / Role
Our client, a well-known company is looking to hire an Executive Assistant - Project Management Coordinator.
The successful candidate will help drive organizational effectiveness by providing administrative support, and project management duties. Responsibilities will include developing & implementing business processes, tracking & supporting initiatives for business operations, and ensuring appropriate milestones & measurements are monitored & tracked. This position must also ensure that all internal and external communications are handled in a professional manner.
Job Responsibilities
• Handle all day-to-day activities which includes answering phones, scheduling meetings, maintaining calendars and files, composing and disseminating correspondence, and other duties as assigned.
• Keep the Director well informed of upcoming commitments and responsibilities and follow up appropriately.
• Serve as the primary point of contact for internal and external constituencies at headquarters office.
• Build relationships, work professionally and interact with executive team, company employees, partners
• Balance priorities for the efficient flow of work, and meet deadlines in a high-paced, busy office.
• Think & work independently, be proactive, handle confidential information, and work effectively with a positive attitude.
• Work collaboratively and use initiative to ensure pending matters are completed with high quality in a timely manner.
• Plan, direct, coordinate, monitor, and report activities of multiple projects to ensure timely completion of initiatives.
• Maintain and update key contact information regularly and have available for quick reference.
• Provide assistance in development of meeting agendas, presentation materials, deliverables, and follow-up items.
• Manage and oversee special projects as assigned; represent the company positively in all situations.
Requirements
Qualifications:
• Candidate must be a bachelor’s degree holder
• Minimum of 4 years of experience in an Executive Assistant role with proficiency in Project Coordination
• Knowledge and experience in IT projects are preferred
• Experience coordinating projects and programs with cross-functional business units and external providers.
• Exceptional knowledge of all Microsoft applications including Outlook, Word, Excel, PowerPoint, Project, and Access
• Quick-thinker, anticipates/solves issues with excellent organizational, decision-making
• Strong technical competence with ability to quickly learn new software and technology
• Superior written and verbal communication skills; ability to effectively influence others at all levels of the organization
• Ability to exercise good judgment in a variety of situations and maintain confidentiality of sensitive matters
