Job description / Role
Proving Executive Assistant support to 3x Vice Presidents in a global environment, this is a new position that will work closely with another colleague supporting the remaining 4x VPs. All are based in Dubai, and this role will manage the Finance, Supply Chain and HR Vice Presidents, and therefore requires professionals with a diverse skill set to manage very different priorities for each department.
Sitting within the MENA office, all Vice Presidents have hectic schedules, with the Supply Chain VP travelling constantly across global emerging markets. As an experienced Executive Assistant, you should be able to manage ever changing and last-minute diary, travel and visa arrangements, and ensure you are easily contactable across global time zones when required. Taking control of emails and daily priorities, you will ensure meetings are fully prepared for by collating all reports, documents, IT equipment and catering facilities, in addition to hosting external and visiting attendees, taking minutes, and providing post meeting follow up actions as required.
Additional tasks will also include taking charge of the organisation’s CSR initiatives and company events. Working with external partners, suppliers and coordinating across the relevant internal departments, it is the responsibility of the Executive Assistant to manage the annual CSR community event, acting as the main point of contact for all, and also to ensure all regional sustainability statistics are uploaded on the internal system for the annual audit.
Requirements:
This is a hands-on and very busy role where diplomacy and confidentiality will be expected. You will be able to manage multiple priorities and deadlines, always be one step ahead, and be a proactive problem solver. The organisation can provide a highly stable environment and a strong focus on wellness for all employees. To be successful you should have at least 5 years of experience as an EA within the Middle East region supporting a team of senior individuals. Preference will be given to those within a MNC FMCG environment, but more important than this is your ability to be adaptable and highly detail orientated.
