Employment: Full Time

JOB SUMMARY

This role provides a robust back-office support to the LULU Management Team and its various departments. The job functions include office Administration, documentation management (including verification, filing, data entry, etc.), and, liaising, coordination and assistance to various departments of LULU as and when required.

The following are the broad level job responsibilities of this role:
• General Administration and Documentation
• Support to various LULU Departments

PRIMARY RESPONSIBILITIES

General Administration and Documentation
• Duties as requested by General Manager that include but not limited to printing and delivery of circulars, notices, scheduling meetings and other such general administration support.
• Assume additional responsibilities of the receptionist.
• Coordination of the maintenance of works such as service or repair of air-conditioning, lights, electrical issues, etc.
• Consolidation various details regarding the LULU and keeping up-to-date log of data.
• Ensure that data entry is done correctly for Business cards.
• Attend phone calls, organize meetings, organize management schedules.
• Maintain a Logbook for incoming / outgoing letters.
• Maintain a Stationery Log to capture the stationery issued to various departments.
• Organize review / project meetings within the office for internal teams.
• Organizing Interviews for Recruitment of Candidates.
• Inventory Management and Purchase stationery and office supplies.
• Organize flight schedules and associated requirements for business trips.
• Troubleshooting and Back-office Assistance provision for printers, IT and HR related issues.
• Organizing Annual Staff Party or Managers Meet / Staff Birthdays / Day Outs by Liaising with employees.

Support to Various LULU Departments
• Provide support to the Regional Human Resource Department of the LULU performing duties such as but not limited to data entry of the latest details of the LULU Staff, review of leave applications, provision of clearance certificates, provision of rejoining certificates, data entry of the latest vehicle or fleet history along with their service details, air ticket confirmation, medical insurance card confirmation, etc.
• Provide support to various other LULU departments as need arises.
• Preparation and circulation of DTFs and MOMs to stakeholders.
• Filling of Petty cash approval forms.
• Maintaining leave planner for the LULU staff.
• Filing of incoming / outgoing correspondence, offer letters, covering letters, and tenancy agreements.

Education criteria:
• Graduation
• BBA
• Leasing or Mall Management Training

Salary:
AED 5,000 to 6,000 per month inclusive of fixed allowances.
Additional benefits: Medical Insurance, Leave Every 2 years, Bachelor Accomodation.
