Description
We are looking for a competent executive secretary to support high-ranking officials in our company. You will be the one to organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks.
Responsibilities
- Maintain a structured task log, ensuring follow-ups and timely execution of key action items.
- Screen and redirect phone calls while managing high-priority communications.
- Organize and maintain executive schedules, plan appointments, and coordinate meetings.
- Attend key meetings, record minutes, track action items, and ensure follow-ups.
- Manage and prioritize incoming and outgoing correspondence.
- Make travel arrangements and logistics planning for executives.
- Handle confidential documents with the highest level of security and discretion.
- Maintain organized electronic and paper records for easy access and retrieval.
- Conduct research, analyze data, and prepare reports or executive presentations.
- Assist in drafting and managing social media content for executives (e.g., LinkedIn).
- Support strategic projects, tracking progress and ensuring alignment with business goals.
Requirements
- Degree in business administration or related field.
- Proven experience as an executive secretary, executive assistant, or similar high-level administrative role.
- Proficiency in MS Office, ERP software, and social media platforms.
- Familiarity with the steel industry, supply chain logistics, or manufacturing processes is preferred.
- Strong knowledge of office management, basic accounting procedures, and corporate communications.
- Ability to conduct market research and generate structured reports.
- Exceptional organizational, time-management, and problem-solving skills.
- Outstanding communication, negotiation, and interpersonal abilities.
- High level of integrity, discretion, and confidentiality.
