Title: Facilities Manager

Immediate Supervisor: The Facilities Manager reports directly to the C.O.O

Core Purpose of the Post:
Praxis staff members at the Arbor School are expected to show exceptional standards of care and skill towards the school community, focusing upon the quality of relationships.

The core expectations are as follows:
• Responsible for the security and maintenance of the whole site and to ensure the school complies with all current legislation relating to site safety and management;
• Promoting and participating in achieving the most efficient and economic use of the school premises, facilities, plant, equipment and materials;
• Responsible for all aspects of the school’s facilities and premises to ensure the cleanliness, safety and security of school buildings and grounds at all times;
• Contributing to school decisions regarding facilities management and development.

This job description shall be reviewed regularly and may be subject to modification and amendment after consultation.

Key Duties and Responsibilities

Main duties
• Monitoring all facilities work within the school to ensure compliance with plans, specifications, building and fire codes, and health and safety;
• Working with the Management and Business Administrators to plan, schedule, and communicate information about ongoing projects throughout the school;
• Maintaining department budget and expenditures;
• Supervising and overseeing implementation of all projects related to the school’s buildings and grounds;
• Working with construction managers to maintain safety conditions at all times during renovations;
• Assisting in the preparation of all bids and quotations for contracted work, equipment, and supplies;
• Maintaining school plans, manuals, and warranties in an organized and accessible manner;
• Maintaining a building development plan;
• Developing inclusive accessibility plans for the school community;
• Recommending approval of contracted projects once completed;
• Assigning, supervising, and overseeing the safety of maintenance staff, moreover establish and adjust work assignments to meet schedules;
• Inspecting and identifying safety/maintenance needs to develop innovative solutions in alignment with the school’s vision;
• Directing contracted staff in cleaning and maintaining assigned areas, develop quality standards for implementation;
• Responsible for drafting and reviewing any necessary contracts as well as preparing documentation or presentations on the work being done for the school;
• Preparing safety and maintenance reports;
• Maintaining inventory, order equipment and supplies;
• Ensuring that the building and school community are secure and liaising with allocated contractors;
• Implementing measures to maintain safe traffic measures;
• Ensuring that the school has effective insurance plans and thorough risk assessments, reviewing consistently;
• Monitoring the use of CCTV according to policy;
• Liaising with school transportation services.

Health & Safety
• Ensuring the school complies with all current legislation in relation to site safety and facilities management including the maintenance of appropriate records;
• Participating in the continuing development of robust, transparent health and safety systems and procedures;
• Supporting health and safety training initiatives and deliver components where appropriate;
• Committing to the growth and maintenance of a positive risk management culture within the school;
• Actively participating in related committee meetings;
• Developing all emergency plans;
• Monitoring building and resource maintenance as per policy and keeping appropriate records.

Management
• Demonstrating skills in personnel management;
• Defining job performance expectations of staff, evaluates job performance, conducts workshops and/or improvement plans to ensure the best operation of the department;
• Monitoring the use, maintenance, and replacement of capital equipment;
• Ensuring that maintenance and custodial staff are familiar with procedures in dealing with misconduct/conflicts;
• Participating in relevant professional growth experiences which expand knowledge of operating the department;

Performance Management
• Participating fully with arrangements made in accordance with the school’s Performance Management policy.

Professional Development
• Being responsible for your own continuous professional development and participate fully in training and development opportunities identified by Praxis, the school or as developed as an outcome of your performance management;

Teamwork and Collaboration
• Participating in any relevant meetings/professional development opportunities at the school, which relate to Facilities.

Other Duties
• Performing any reasonable duties as requested by the C.O.O.

Requirements

Qualifications and Experience
• Bachelor’s degree in Facilities Management or Engineering;
• Minimum experience 10 Years in Facilities Management;
• Preferred 3 Years experience in Facilities Management within an educational environment;
• Fluent English language;
• Arabic is a plus;
• Project Management Skills;
• Thorough knowledge of custodial equipment;
• Thorough knowledge of applicable Health & Safety standards, rules and regulations;
• Building Maintenance experience - familiarity with building upkeep, structural issues, and grounds maintenance;
• Good physical condition.
